Part-Time Billing & Operations Specialist to support our U.S.-based property management company. This is a long-term remote role ideal for someone experienced in property management accounting who can also assist with operational tasks like maintenance coordination, monthly reconciliations and tenant screening.
This position is 30 hours per week and requires working during U.S. Pacific Time business hours
Key Responsibilities:
- Perform monthly reconciliations of bank accounts, tenant ledgers, and vendor statements.
- Manage accounts receivable (AR): create and send invoices for rent, utilities, and fees; process tenant payments; monitor aging reports and resolve issues.
- Manage accounts payable (AP): review and process vendor invoices, ensure timely payments, and reconcile statements.
- Coordinate maintenance requests by communicating with vendors and tenants, tracking job progress, and confirming completion.
- Conduct tenant background checks and employment verifications based on company procedures.
- Respond to billing and account inquiries from tenants, vendors, and internal tea
- Coordinate utility accounts
- Assist with month-end closing and preparation of financial reports.
- Maintain organized digital records and documentation.
- Identify and suggest improvements to accounting and workflow processes.
- Handle other administrative and accounting support tasks as needed.
Requirements:
- Required: Experience using Buildium for property management accounting.
- Required: Experience in QuickBooks Online (QBO).
- Solid understanding of property management accounting (rent cycles, owner statements, vendor payments).
- Experience with maintenance coordination or property operations is a strong advantage.
- Experience performing tenant screening (background checks, employment verification) preferred.
- High attention to detail and accuracy in data entry.
- Strong Excel skills and familiarity with Google Workspace (Sheets, Drive).
- Reliable internet connection and ability to work consistently during U.S. Pacific Time hours.
- Strong communication skills in English (written and verbal).
