Job Title: HR & Feedback Compliance Specialist (Remote)

About the Role
We are seeking a highly organized and detail-oriented HR & Feedback Compliance Specialist to support our growing operations. In this role, you will manage HR administration, ensure compliance across staff and client documentation, and support feedback and i ---------- management processes.
This is an ongoing contractor role with a stable workload and opportunities to contribute to continuous improvement initiatives.

Working Schedule
Monday to Friday
9:00 AM – 5:00 PM (Melbourne Time)
Additional hours may be required as needed, with prior notice and mutually agreed compensation


Key Responsibilities:

HR & Administration
Manage staff rosters in Vertex360 ensuring full shift coverage and data accuracy
Oversee HR administrative functions and respond to general HR inquiries
Maintain and update staff personnel records and documentation
Coordinate recruitment, screening, interviews, and onboarding
Ensure compliance with staff documentation, training, and regulatory requirements
Collaborate with Operations Managers and Support Coordinators on performance and compliance
Track and manage staff leave calendars
Handle onboarding, offboarding, and system updates

Compliance & Client Support
Maintain compliance registers and ensure adherence across operations
Follow up on missing documentation and ensure timely updates
Manage client onboarding processes and documentation
Maintain client records, service agreements, and feedback registers
Assist with newsletters and satisfaction surveys
Ensure staff complete required training and development programs

Feedback Management
Support feedback handling, i ---------- reporting, and resolution tracking
Record and categorize feedback, complaints, and compliments
Coordinate with teams to resolve client concerns efficiently
Maintain i ---------- and feedback registers with confidentiality
Prepare monthly and quarterly reports on feedback trends
Identify risks and recommend quality improvements
Assist with investigations and corrective actions
Provide insights to improve service delivery and training


Performance Expectations
Meet agreed Key Performance Indicators (KPIs)
Participate in performance reviews
Maintain accuracy, timeliness, and strong compliance standards


Compensation
PHP 30,000 – 35,000 per month
Paid on a fortnightly basis

What We’re Looking For
Experience in HR administration and compliance
Strong organizational and attention-to-detail skills
Ability to manage multiple systems and records accurately
Excellent communication and coordination skills
Experience in feedback or i ---------- management is a strong advantage
NDIS Experience or AU HR experience is a plus
