We are an Australian accounting firm, doing cross-border income tax between Australia and the U.S. We are looking for a reliable and professional Administrative Assistant to support our team during regular business hours.
ABOUT THE ROLE:
This is a remote administrative assistant position supporting an Australian accounting practice. You will be the first point of contact for clients calling our office, handling inbound calls, taking messages, and routing enquiries to the appropriate tea
WORKING HOURS:
Monday to Friday, 10:00 AM – 5:00 PM Brisbane Time (AEST/AEST). You must be available and online during these hours.
KEY RESPONSIBILITIES:
- Answer inbound phone calls professionally and promptly
- Greet clients warmly and assist with general enquiries
- Take accurate messages and relay them to the relevant accountant or tea
- Schedule and confirm client appointments
- Handle basic client queries related to accounting services (tax returns, BAS, bookkeeping, etc.)
- Make outbound calls to clients as directed (reminders, follow-ups, appointment confirmations)
- Maintain a professional, friendly, and helpful phone manner at all times
- Log call details and messages accurately
- Use AI assistant tools provided to support client interactions and call management
REQUIREMENTS:
- Excellent spoken and written English – this is a MUST. You will be speaking with Australian, and US clients daily and must be clearly understood
- Neutral or easily understood accent strongly preferred
- Previous experience in a phone assistant, receptionist, virtual assistant, or customer service role
- Familiarity with accounting or financial services is a strong advantage
- Reliable internet connection and a quiet, professional working environment
- Ability to work Brisbane business hours (10 AM – 5 PM AEST) consistently
- Punctual, organised, and detail-oriented
- Professional and courteous phone manner
- Tech-savvy and comfortable learning new digital tools and software
- An AI assistant will be implemented to support your role — a basic understanding of AI tools and a willingness to embrace new technology is essential
PREFERRED SKILLS:
- Experience with accounting software (Xero, MYOB, QuickBooks) is a plus
- Experience with scheduling tools and CRMs
- Prior experience working with Australian clients
- Experience working with an accounting firm is an added advantage
- Experience with a U.S. or Australian tax firm is a further advantage
