We are looking for a highly organized Podcast Operations Coordinator to help manage guest booking, scheduling, production workflows, and publishing calendars across all shows.

Position Overview

This role is ideal for someone who thrives on organization, communication, and project management.

You will become the central point of coordination for podcast operations, ensuring guests are booked, recordings stay on schedule, and episodes move smoothly through production and publication.

This is not a video editing role.

Key Responsibilities
Guest Booking & Outreach
Research and identify potential guests
Send guest outreach emails and LinkedIn messages
Coordinate guest scheduling
Follow up with prospective guests
Maintain guest booking pipeline
Calendar Management
Manage recording schedules across multiple podcasts
Coordinate availability between hosts and guests
Schedule recordings using Calendly and Google Calendar
Send reminders and confirmations
Production Coordination
Create recording sessions in Riverside.fm
Collect guest bios, headshots, and social links
Prepare guest briefing documents
Track recording completion
Publishing Workflow
Maintain episode production tracker
Coordinate with editors and content creators
Ensure episodes are published on schedule
Track deliverables and deadlines
Administrative Support
Update project management systems
Maintain production SOPs
Organize files and folders
Assist with sponsor deliverables and reporting
Qualifications
Required
Excellent written English
Strong organizational skills
Experience with Google Workspace
Experience managing calendars and schedules
Strong attention to detail
Ability to work independently
Reliable internet connection
Professional communication skills
Preferred
Podcast industry experience
Experience with Riverside.fm
Experience with Calendly
Experience with Airtable, Notion, ClickUp, or Trello
Experience with social media scheduling tools
Familiarity with veteran, military, entrepreneurship, or leadership content

All podcast recordings are scheduled and tracked
Guest communication is handled professionally
Production calendars are consistently updated
Episodes are released on time
Hosts and guests have a smooth experience
Security Halt Media has a predictable recording and publishing cadence
Compensation
$10–12 USD per hour
Approximately 20 hours per week
