We are a UK-based start-up with a globally based team. The role is fully remote and part-time to begin with, with the potential to become full-time if revenue or funding is secured.
We are looking for a long-term partner who can help us become more organised, efficient, and AI-enabled.
Role
We are looking for a smart, proactive, AI-skilled Virtual Assistant / Executive Assistant to support daily admin, task management, research, workflow creation, and operational improvement.
This is not a bookkeeping role.
Key Responsibilities
Managing
Reducing
Transferring tasks into Asana and tracking them through to completion.
Creating and maintaining task boards, action logs, deadlines, and follow-up trackers.
Supporting basic project management across business tasks, priorities, and deliverables.
Creating simple workflows using tools such as
Researching grants, funding options, and start-up opportunities.
Creating automated workflows to identify relevant grants and funding sources.
Supporting day-to-day admin, research, document creation, and task management.
Helping review daily tasks and suggest ways to make them faster, simpler, or automated.
Skills Required
You must have some experience with project management or task management tools.
You should be confident using tools such as:
Asana
Trello
Notion
ClickUp
Google Sheets
Google Workspace
You do not need to be a qualified project manager, but you must understand how to organise tasks, deadlines, owners, priorities, and follow-ups.
AI Skills Required
You must be confident using AI tools and able to show practical examples.

Evidence Required
Please share evidence of your AI, workflow, and task management skills, including:
Courses completed.

Experience Required
Previous VA, EA, admin, operations, project coordination, or start-up support experience is preferred.
References will be requested.
A video call will be required to validate communication skills and English level, as strong English is essential.
Practical Test
Shortlisted candidates will complete a practical test.
This may include:
Organising messy tasks into Asana.
Creating a simple project/task board.
Creating an AI-supported workflow.
Showing how
Researching grants or funding options.
Suggesting ways to improve daily operations.
Hours
Part-time to start, with potential to increase to full-time if revenue or funding is secured.
Some UK working hours availability is required.
Pay
Budget is approximately $300 per month for this role.
