JOB OVERVIEW

Job Summary:
The Business Systems and Integrations Specialist (BSI) role sits at the intersection of AI automation, systems integration, and implementation support, helping connect tools, teams, and workflows into scalable operational processes that improve efficiency, visibility, and operational execution across the business. The BSI will work closely with internal leadership, implementation leads, and operational stakeholders to execute workflow automations, maintain integrations, support rollout initiatives, troubleshoot operational issues, and contribute to continuous process improvement efforts.
This role may enter during active systems integration, operational optimization, and platform transition initiatives involving tools such as QBO and JobTread. The ideal candidate should be comfortable working within evolving operational environments, adapting to ongoing implementation changes, and supporting execution during active rollout phases rather than only within fully established systems. This role is ideal for someone who is technically capable, operationally proactive, eager to grow within AI implementation and systems integration, and comfortable working in a collaborative and fast-moving environment. The position operates within an existing implementation and governance support structure, with guidance and escalation support already established internally for larger implementation, governance, and architectural requirements.

What You Will Do
1. AI Automations
• Own and maintain AI-powered workflows and operational automations across multiple business
functions.
• Build and optimize automation workflows using platforms such as Make, Zapier, n8n, Claude,
ChatGPT, and related tools.
• Identify operational inefficiencies and recommend automation opportunities to improve
workflow execution.
• Create and maintain prompt libraries, workflow templates, and reusable automation structures.
• Perform workflow testing, QA validation, troubleshooting, and optimization of automation
processes.
• Support AI adoption and operational enablement across teams

2. Software Implementation & Systems Integration
• Manage integrations and system connectivity across operational platforms including CRM,
project management, scheduling, accounting, and communication tools.
• Support API integrations, webhooks, workflow connections, and data synchronization between
systems.
• Troubleshoot broken automations, workflow interruptions, integration gaps, and operational
inconsistencies.
• Help maintain workflow documentation, systems organization, and operational visibility.
• Monitor automation reliability, platform performance, and workflow efficiency.
• Participate in process optimization and systems improvement initiatives.

3. Implementation Support
• Support implementation rollouts, workflow execution, onboarding, and operational adoption
initiatives.
• Coordinate implementation-related tasks, testing, follow-ups, and documentation.
• Assist with SOP creation, workflow mapping, and operational process documentation.
• Work closely with implementation leadership, project stakeholders, and operational teams
during rollout phases.
• Escalate implementation blockers, governance concerns, or technical issues when necessary.
• Help maintain organized project tracking, implementation updates, and rollout visibility.

4. Data Management, Reporting & Analytics
• Help maintain accurate and organized operational data across systems and workflows.
• Support reporting, dashboard updates, workflow monitoring, and operational visibility
initiatives.
• Assist in identifying data inconsistencies, operational gaps, and workflow improvement
opportunities.
• Support AI-assisted reporting and operational analytics initiatives.

5. Cross-Team Collaboration & Enablement
• Work closely with Operations, Finance, Sales, and HR teams to support workflow execution and
systems adoption.
• Assist users when workflows, automations, or integrations require troubleshooting or
operational support.
• Communicate implementation updates, blockers, and operational concerns clearly and
professionally.
• Contribute to a collaborative, solutions-focused, and process-driven working environment.

What We Are Looking For
Core Experience & Qualifications
• Experience in workflow automation, systems integration, operations support, or software
implementation.
• Familiarity with automation tools such as Make, Zapier, n8n, or similar platforms.
• Basic understanding of APIs, webhooks, and system integrations.
• Strong organizational, troubleshooting, and problem-solving skills.
• Comfortable working cross-functionally with multiple stakeholders and teams.
• Strong written and verbal communication skills.
• Comfortable working in a remote and fast-paced environment.
• Experience supporting operational or implementation workflows is highly preferred.
AI & Automation Capabilities
• Active user of AI tools such as Claude, ChatGPT, Gemini, or similar platforms.
• Comfortable using AI tools to improve workflow efficiency and operational execution.
• Understanding of workflow automation concepts and process improvement.
• Ability to support AI-assisted workflows, templates, and operational automations.
• Comfortable learning governance standards and implementation best practices.
