Executive Administrative Assistant for Operations & Human Resources
Livewell Behavioral Health
Reports To: Clinical Director
Employment Status: Full-Time (Non-Exempt)

Position Summary
The Executive Administrative Assistant for Operations & Human Resources provides direct administrative support to the Clinical Director and serves as a key liaison between clinical staff, human resources, payroll, and the administrative department. This position is responsible for supporting the day-to-day operational functions, employee onboarding and offboarding, personnel documentation, payroll preparation, compliance tracking, and management of employee records through the InSync Electronic Health Record (EHR) system and other agency platforms.
Human Resources Support
? Assist the Clinical Director with daily human resources-related functions.
? Coordinate and process new hire onboarding activities.
? Prepare and maintain employee personnel files.
? Track employee licenses, certifications, and training requirements.
? Assist in employee orientation schedules.
? Assist with employee offboarding and separation documentation.
Payroll Administration
? Assist in reviewing employee timesheets for accuracy.
? Assist with payroll processing and submission deadlines.
? Periodical audits for accuracy of time and attendance
InSync EHR Administration
? Support employee setup and maintenance within the InSync system.
? Generate reports and assist with documentation tracking.
? Maintain accurate staff information.
Administrative Operations
? Manage calendars, meetings, and scheduling.
? Prepare meeting agendas and minutes.
? Draft correspondence, reports, and presentations.
? Support agency projects and training.
? Collaborate with current administrative staff on admin projects as assigned

Qualifications
? Associate’s degree preferred.
? Minimum two years of administrative experience.
? Experience in healthcare or behavioral health preferred.
? Proficiency with Microsoft Office (Excel proficiency necessary)
? Understanding of HR/Payroll Systems
