Role Overview
The Executive Administrative Specialist provides high-level administrative and operational support across the firm and serves as a central coordination point for our day-to-day workflows. You will support our lawyers and leadership directly, own the firm's onboarding and document operations, and work hand-in-hand with our compliance team.
You are the administrative and operational engine behind our compliance and onboarding workflows. You gather, organise, and route the documentation our compliance team relies on, and you keep every client and lawyer file complete, accurate, and audit-ready. The regulatory checks themselves are carried out by our dedicated compliance reviewers — your role is to make their work seamless by owning everything around it. If you come from a compliance or regulated-services background, you will recognise the standards and the environment immediately.
This is a remote position, but the working hours are fixed at 9:00 AM – 5:00 PM UAE time, Monday to Friday.
Key Responsibilities
Provide high-level executive administrative support to the firm's lawyers and leadership — managing priorities, requests, correspondence, and day-to-day needs
Own calendar management and coordinate meetings and invites across multiple time zones
Manage shared and executive inboxes; draft, format, and send professional correspondence; own follow-ups so nothing falls through the cracks
Own the onboarding lifecycle for new clients and lawyers — gathering documentation, setting up and structuring files, and coordinating every detail to completion
Prepare, organise, and route the documentation that feeds the compliance team's review; maintain complete, accurate, and audit-ready files
Maintain meticulous, well-ordered shared drives and document- and matter-management systems with a clear, auditable structure
Produce, format, and maintain documents, reports, and trackers to a high professional standard
Coordinate with vendors, platforms, and service providers
Anticipate operational needs and proactively keep the firm's remote workflows running smoothly
Help refine and document administrative, onboarding, and operational procedures so they remain consistent and efficient as the firm scales
Key Requirements
Excellent English — fluent, precise written and spoken communication is non-negotiable
Proven experience in a senior executive-administrative, operations, or compliance-support role (legal, financial, or other regulated/professional-services environment strongly preferred)
Exceptional attention to detail and a methodical, process-driven mindset — you treat accuracy and confidentiality as non-negotiable
Strong sense of ownership and initiative — able to prioritise, manage multiple workstreams, and operate independently with minimal supervision
Tech-savvy — confident with Google Workspace (Docs, Sheets, Drive), Microsoft Teams, document- and file-management tools, and other online platforms
Highly organised, dependable, and discreet, particularly when handling sensitive information
Stable internet connection and a professional remote setup
Available full-time, 9:00 AM – 5:00 PM UAE time
Compensation
USD 4.50 per hour
