The Role:
As our QuickBooks Bookkeeper & Call Dispatcher, you'll own two responsibilities during the overnight shift: keeping our books accurate and up to date in QuickBooks, and answering incoming phone calls to quickly route each caller to the right specialist. You're the reliable point of contact who keeps the finances clean and makes sure no call goes unanswered after hours.
Responsibilities:
QuickBooks & Bookkeeping:
Manage day-to-day bookkeeping in QuickBooks, including accounts payable and receivable.
Create and send invoices, track payments, and follow up on outstanding balances.
Reconcile bank and credit card accounts and maintain accurate ledgers.
Prepare financial reports and summaries, and support month-end and year-end close.
Keep financial records organized, accurate, and audit-ready.
Call Handling & Dispatch:
Answer incoming phone calls promptly and professionally during the shift.
Listen to the caller's issue, identify the nature of the request, and determine the right specialist or team.
Route or transfer calls to the appropriate person and confirm the hand-off.
Take clear messages and log call details when a specialist isn't immediately available.
Follow escalation procedures for urgent or after-hours issues.
Skills and Qualifications:
We're looking for an organized, dependable professional who fits our vibrant culture. You'll need:
QuickBooks Expertise: Hands-on experience with QuickBooks (Online and/or Desktop) for invoicing, reconciliation, and reporting.
Bookkeeping Skills: Solid grasp of bookkeeping fundamentals — AP/AR, reconciliations, and financial reporting.
Communication: Strong English skills (written and verbal) to handle calls clearly and professionally.
Phone Manner: A friendly, calm, and professional phone presence.
Organization: Sharp attention to detail and the ability to juggle bookkeeping tasks alongside live calls.
Reliability: Comfortable working an overnight 12-hour shift and staying focused throughout.
Bonus Skills: QuickBooks ProAdvisor certification, prior dispatch/reception experience, or familiarity with ticketing systems.
Full-Time Commitment: Ready to dedicate yourself fully to this shift-based role.
