We are a high-performing, rapidly scaling real estate company based in the Twin Cities (Minnesota, USA). We built our reputation on high-end, experiential client events (like luxury sports suites and community art classes) and a deeply trusted, multi-generational network.
Currently, our CEO is closing 1–2 deals a month purely on referrals. We are ready to launch aggressive expansion campaigns into new markets. We have a powerful brand and an incredibly warm audience; now, we need the operational genius to organize us and help run the engine.
The Position: Who We Are Looking For
We are not looking for a passive virtual assistant who just waits to be told what to do. We are looking for a strategic partner, a calendar gatekeeper, and an organized powerhouse.
You are the perfect fit if you naturally love spreadsheets, systems, project management tools, and keeping things clean. You are detailed-oriented to a fault, comfortable "managing up" to keep an energetic CEO on track, and thrive on turning chaos into structure.
Core Responsibilities
1. Calendar Gatekeeping & Time Management
Own the CEO’s calendar completely. Protect dedicated "lead generation" and revenue-producing time blocks fiercely.
Conduct a mandatory 10-minute daily morning huddle to align priorities, review the day's task list, and prep the CEO for client meetings.
2. CRM & Database Management
Act as the "CRM Dictator." Ensure every single client, referral, and lead from our events and database is meticulously tracked, updated, and tagged.

Manage the logistics, RSVP lists, vendor outreach, and post-event follow-up systems for our elite client appreciation events.
Coordinate the backend distribution of neighborhood market reports and home equity reviews to our core network.

Required Qualifications & Skills
Experience: Minimum 2+ years of experience as an Executive Assistant, Operations Assistant, or project manager (Real estate experience is a massive plus, but not required if your organizational skills are elite).
Communication: Flawless written and spoken English. You must be comfortable communicating professionally with high-value US clients via
Tech-Savviness: Highly proficient in CRMs, Google Workspace, spreadsheet management, and project tools (Asana, Trello, or ClickUp).
Environment: A reliable, high-speed internet connection, quiet workspace, and a backup power solution (generator/power station) to ensure seamless communication during US CST business hours.
