Executive Virtual Assistant & Administrative Coordinator (Remote – Philippines)

As we continue to grow, we are looking for an organized, detail-oriented, and proactive Executive Virtual Assistant to help support our leadership team and keep our operations running smoothly.
## Position Overview
This is a long-term remote position for someone who enjoys organization, communication, accountability, and helping a growing business succeed.
You will work directly with the owner and leadership team to coordinate administrative activities, support customer communications, assist with hiring processes, track important company information, and ensure follow-through on commitments made by tea
The ideal candidate is highly organized, professional, trustworthy, detail-oriented, and comfortable communicating with customers, employees, and management.
## Key Responsibilities
### Administrative & Executive Support
* Manage the owner's
* Schedule meetings, appointments, and reminders
* Organize digital files, documents, and records
* Assist with data entry and administrative projects
* Draft professional correspondence and internal communications
* Perform general secretary and administrative support duties
### Customer Service & Call Handling
* Answer incoming customer inquiries
* Route calls to the appropriate tea
* Schedule service appointments when appropriate
* Follow up with customers regarding appointments and communications
* Maintain professionalism and a positive customer experience on every interaction
### Hiring & Recruitment Support
* Coordinate and schedule job interviews
* Communicate with applicants throughout the hiring process
* Track candidate status and interview progress
* Assist with maintaining recruitment records and documentation
### Collections & Accounts Follow-Up
* Contact commercial customers regarding outstanding invoices
* Follow up on overdue payments professionally and respectfully
* Document collection activities and payment commitments
* Escalate collection issues when necessary
### Online Reputation Management
* Monitor incoming customer reviews
* Draft and publish responses to Google reviews
* Escalate sensitive customer concerns when appropriate
* Help maintain a strong online reputation for the company
### Meeting Coordination & Accountability
* Attend virtual management and tea
* Take detailed meeting notes
* Document commitments, action items, and deadlines
* Follow up with tea
* Help ensure accountability and follow-through across the organization
### Record Keeping & Administrative Tracking
* Organize and maintain vehicle maintenance records and receipts
* Track recurring administrative requirements and deadlines
* Maintain internal spreadsheets and reporting documents
* Support management with special projects and process improvements
## Qualifications
### Required
* Excellence with Microsoft Excel and Microsoft Word, Microsoft OneDrive
* Excellence scheduling appointments
* Experience with collections or accounts receivable follow-up
* Experience supporting small businesses or service companies
* Familiarity with CRM or field service software
