Brown Haven Homes is a growing homebuilder, and we're hiring a remote HubSpot & Asana Administrator whose entire focus is keeping our two most important systems healthy, well-organized, and working properly. HubSpot runs our marketing and sales; Asana runs how the whole company gets work done across architecture, construction, sales, and operations. You'll be the go-to expert who, maintains, supports, and continuously improves both platforms — and the person teammates turn to when something isn't working. What You'll Do
HubSpot administration
Own the day-to-day health and administration of our HubSpot portal across Marketing Hub and Sales Hub
Manage users, teams, permissions, and seats; keep access clean as people join, change roles, and leave
Build and maintain properties, deal pipelines and stages, record layouts, and association labels
Support the sales team in HubSpot — deal stages,
Create, maintain, and monitor workflows and automations — and proactively catch and fix the ones that break or misfire
Build and maintain lists/segments, forms,
Keep data clean: deduplicate records, manage imports/exports, enforce required fields and validation, and run regular data-hygiene passes
Build and maintain dashboards and reports for sales, marketing, and leadership
Monitor
Asana administration
Own the health and administration of the Brown Haven Homes Asana workspace — teams, members, guests, and permissions
Provision and deprovision users, and reassign tasks and projects cleanly when tea
Build and maintain project templates, custom fields, intake forms, rules/automations, portfolios, and dashboards
Build simple, scalable systems — our current Asana workspace has grown sprawling and overly complex (neither simple nor scalable), and a core part of this role is streamlining and rebuilding it to be clean, consistent, and built to scale
Standardize project structure and naming across offices and teams, and keep the workspace tidy by archiving stale projects and fixing broken rules
Drive adoption — train teams, answer "how do I…" questions, and build clear SOPs and how-to guides
Maintain portfolios and reporting that give leadership visibility into work across the company
Across both platforms
Serve as the first point of contact for HubSpot and Asana questions, requests, and issues — triage, resolve, and follow up until it's truly fixed
Meet our resolution targets: roughly 90% of incoming issues resolved within 24 hours, with the remaining ~10% (larger build-outs) delivered within 2 weeks at most
Own and monitor the HubSpot ? Asana integration and other connected apps, troubleshooting sync issues and escalating when needed
Document configuration, processes, and standards so the systems stay maintainable
Partner with marketing, sales, and operations to translate their needs into clean, reliable system configuration
Keep both platforms running properly day to day, spotting and resolving problems before they spread
Maintain the confidentiality and security of sensitive company and customer information
Experience Requirements
Proven hands-on HubSpot administration experience across Marketing Hub and Sales Hub — building properties, deal pipelines, workflows, lists, forms,
Proven hands-on Asana administration experience managing teams, templates, custom fields, rules/automations, forms, and portfolios
Strong understanding of CRM data hygiene, segmentation, and workflow/automation logic
Experience building dashboards and reports that non-technical stakeholders can actually use
Comfort troubleshooting integrations and platform sync issues, with the instinct to isolate root cause and document the fix
Process- and documentation-oriented, with the ability to train and support non-technical users patiently and clearly
Strong organizational and time management skills, able to juggle requests and prioritize against business impact
Excellent written and verbal communication, available during US business hours
Self-motivated, proactive, and detail-oriented, with a "make it happen" attitude — you take ownership and drive issues to resolution instead of waiting to be told what to do
Bonus Skills
HubSpot certifications (e.g., Marketing Hub, Sales Hub, Operations Hub, or Reporting)
Asana certifications or formal Workflow Specialist experience
Experience with HubSpot Operations Hub, data sync, programmable/custom-coded workflows, or the HubSpot API
Experience connecting tools with Zapier, Make, or n8n
Reporting/analytics skills (Google Sheets, Looker Studio, or SQL)
Experience in homebuilding, construction, or real estate
Technical Requirements
A primary computer with sufficient RAM and processing power to run multiple admin, reporting, and communication tools simultaneously (including 10+ tabs in Google Chrome)
Primary internet service with speeds of at least 50 Mbps
Backup power supply (reimbursement available if you need to purchase)
