Position Summary
The Payroll & Billing Specialist is responsible for the accurate and timely processing of caregiver payroll, client billing, and related administrative functions. This position plays a critical role in ensuring caregivers are paid correctly, client invoices are generated accurately, and agency financial records remain organized and compliant with company policies and regulatory requirements.
Key Responsibilities
Payroll Administration
• Process weekly and/or bi-weekly payroll for caregivers and office staff.
• Review and verify timesheets, EVV records, schedules, and attendance data.
• Investigate and resolve payroll discrepancies, missed punches, and payroll-related inquiries.
• Ensure compliance with federal, state, and local wage and hour regulations.
• Maintain payroll records and supporting documentation.
• Coordinate with HR regarding new hires, terminations, wage changes, and employee status updates.
Client Billing & Accounts Receivable
• Generate and submit private pay, long-term care insurance, Medicaid, VA, and third-party payer invoices.
• Review billing records for accuracy and completeness.
• Monitor outstanding balances and assist with collections activities.
• Reconcile billing discrepancies and resolve payment issues.
• Prepare billing reports and maintain accurate client financial records.
• Verify authorizations, service agreements, and payer requirements prior to billing.
