JOB OVERVIEW

We are seeking a highly organized and proactive Virtual Assistant to support the daily operations, customer management, and sales activities of our growing wholesale business. The ideal candidate will assist with client account management, invoicing, shipment tracking, CRM management, lead generation, customer outreach, and administrative support to ensure smooth business operations and exceptional customer service.

Key Responsibilities

Customer & Account Management

* Maintain accurate customer records, contact information, and account details in CRM and ---------- .
* Manage customer relationships and provide timely responses to inquiries via email, phone, and messaging platforms.
* Handle customer follow-ups regarding orders, payments, shipments, and product inquiries.
* Assist with customer onboarding and account setup.

CRM, ---------- & Sales Support

* Manage and update CRM databases and ---------- boards with customer interactions, opportunities, orders, and sales activities.
* Track leads, prospects, and customer communications to ensure timely follow-up.
* Support the sales team with customer outreach, appointment scheduling, and pipeline management.
* Generate and qualify leads through online research, LinkedIn, email campaigns, and outbound outreach.
* Conduct customer outreach to wholesale buyers, distributors, retailers, and prospective customers.
* Maintain sales pipelines and customer activity records within ---------- .
* Prepare sales reports, customer activity reports, and lead-generation summaries.

Order Processing & Operations

* Process customer orders accurately and coordinate with internal teams for fulfillment.
* Create, send, and follow up on client invoices.
* Track accounts receivable and assist with payment collection follow-ups.
* Use QuickBooks to manage invoicing, payments, and basic bookkeeping tasks.
* Monitor order progress and update order statuses within ---------- .

Logistics & Shipment Coordination

* Monitor incoming and outgoing shipments and communicate status updates to customers and internal teams.
* Coordinate with suppliers, freight carriers, and logistics providers regarding shipment status.

Qualifications

* Experience using QuickBooks for invoicing and bookkeeping.
