We are seeking a highly organized and proactive Virtual Assistant to support the daily operations, customer management, and sales activities of our growing wholesale business. The ideal candidate will assist with client account management, invoicing, shipment tracking, CRM management, lead generation, customer outreach, and administrative support to ensure smooth business operations and exceptional customer service.
Key Responsibilities
Customer & Account Management
* Maintain accurate customer records, contact information, and account details in CRM and
* Manage customer relationships and provide timely responses to inquiries via
* Handle customer follow-ups regarding orders, payments, shipments, and product inquiries.
* Assist with customer onboarding and account setup.
CRM,
* Manage and update CRM databases and
* Track leads, prospects, and customer communications to ensure timely follow-up.
* Support the sales team with customer outreach, appointment scheduling, and pipeline management.
* Generate and qualify leads through online research, LinkedIn,
* Conduct customer outreach to wholesale buyers, distributors, retailers, and prospective customers.
* Maintain sales pipelines and customer activity records within
* Prepare sales reports, customer activity reports, and lead-generation summaries.
Order Processing & Operations
* Process customer orders accurately and coordinate with internal teams for fulfillment.
* Create, send, and follow up on client invoices.
* Track accounts receivable and assist with payment collection follow-ups.
* Use QuickBooks to manage invoicing, payments, and basic bookkeeping tasks.
* Monitor order progress and update order statuses within
Logistics & Shipment Coordination
* Monitor incoming and outgoing shipments and communicate status updates to customers and internal teams.
* Coordinate with suppliers, freight carriers, and logistics providers regarding shipment status.
* Track deliveries and proactively resolve shipment-related issues.
* Update inventory, shipment records, and order tracking information.
* Maintain shipment schedules and workflow tracking through
Administrative Support
* Manage
* Prepare reports on outstanding invoices, shipment schedules, customer orders, sales activities, and customer follow-ups.
* Maintain organized digital records and documentation.
* Perform other administrative tasks as assigned.
Qualifications
* Experience using QuickBooks for invoicing and bookkeeping.
* Experience with CRM platforms and
* Strong customer service and customer relationship management skills.
* Experience in lead generation, prospecting, and customer outreach.
* Familiarity with wholesale, distribution, logistics, supply chain, or manufacturing operations.
* Excellent written and verbal communication skills.
* Strong organizational skills and attention to detail.
* Ability to manage multiple projects, customer accounts, orders, and shipments simultaneously.
* Proficiency with Microsoft Excel, Google Sheets, and
