ABOUT THE ROLE
We're a premium direct-to-consumer apparel brand selling mainly to US customers, with manufacturing in Asia and warehouses in the US. We're hiring a hands-on Fulfillment & Shipping Operations Coordinator to run the daily operations that get orders shipped correctly, keep our inventory accurate, and keep our shipping costs in check.
YOUR THREE PRIORITIES (what you'll be measured on)
1. Inventory accuracy. Make sure we never lose stock; when stock is lost, file and recover the claim; and keep inventory counts accurate and matched across every system.

HOW THE ROLE WORKS
The core of this job is daily: making sure orders flow to the right warehouse, handling the exceptions our automation can't, and working our issue/tracking boards (shipping issues, unfulfilled orders, late deliveries) through to resolution every business day. Around that sits a lighter set of monthly tasks (inbound receiving, inventory checks, a few reports, and carrier-invoice verification) — much of which is already automated, so the job is to run and verify those, not build them by hand.
You'll work across our ecommerce platform, order-management and warehouse systems, and a project/issue-tracking tool, coordinate with the team over chat, and follow written SOPs. Hours are standard Philippine business hours (about 9am–6pm PHT); no night shift. Working time is tracked with a time-tracking tool.
This is NOT entry-level. You should have run ecommerce fulfillment before, be comfortable learning and working across multiple systems, stay organized under a daily queue, and communicate clearly and promptly. If you go quiet when things get hard, this isn't for you. If you take ownership and keep things moving without being chased, you'll do well here.
WHAT YOU'LL DO
Daily — order fulfillment (priority 2):
- Oversee the daily order flow. Most orders route to the right warehouse automatically; you make sure the daily outbound completes cleanly and handle the exceptions.
- Process manual-override cases: split orders across two warehouses, international orders (purchase/register the shipping label, attach the commercial invoice), and reshipments.
- Reconcile edited/held orders between the store and the warehouse system.
Daily — shipping-issue & delivery resolution (priority 2):
- Own the issue boards end to end: log each issue, classify it, respond to the customer within 24 hours, follow up with the warehouse/carrier on a set cadence, resolve it (reship/refund/claim), and close it out.
- Clear open/unfulfilled orders flagged by automation within SLA.
- Track late or non-moving shipments and drive resolution with the warehouses and carriers.
Inventory accuracy (priority 1):
- Receive inbound shipments using documentation from Procurement; build the inbound records, reconcile against the packing list, and log any shortages/damage.
- Run the monthly inventory checks (store-vs-warehouse, plus an internal check) and fix discrepancies so stock matches across systems.
- When a warehouse loses or mishandles stock, file the claim and follow it through to recovery.
- Produce the monthly inventory/inbound/outbound/delivery reports — run them, sanity-check the output, and fix anything that looks off.
Costs (priority 3):
- Verify freight, storage, and returns invoices against rate cards using our in-house tool; flag and recover overcharges.
- Continuously look for ways to lower shipping and fulfillment costs (e.g., right-sizing packaging, improving routing, catching recurring billing errors).
REQUIREMENTS
- 3–5 years' hands-on ecommerce fulfillment / shipping / order operations (running the systems, not physical warehouse work).
- Strong experience with a major ecommerce platform (multi-location orders and inventory).
- Experience with order-management/ERP software and third-party warehouse (3PL) systems.
- Experience running an issue/ticket board to a daily SLA.
- Strong spreadsheet skills; comfortable with AI-assisted reporting (a plus).
- Able to audit carrier invoices against rate cards and spot overcharges.
- Excellent written English and fast, reliable communication.
- High attention to detail; dependable during PH business hours; comfortable logging time via a time-tracker; self-manages from written SOPs.
Nice to have: experience with returns and help-desk platforms; apparel/fashion ecommerce; US shipping & customs (DDP/DDU).
