JOB OVERVIEW

We are Massages VIP Pro Puerto Rico, a growing mobile luxury spa serving clients island-wide — from private homes and Airbnbs to beaches and resorts. We are looking for a highly organized, proactive, and tech-savvy Virtual Assistant to take full ownership of our CRM, lead follow-up, booking coordination, and social media operations.
This is a critical role. We need someone who takes initiative, works independently, and genuinely cares about doing things right. If you need constant supervision this is not the right fit.

WHAT YOU WILL OWN:
CRM & Lead Management:

- Monitor our CRM inbox (AgentCRM / GoHighLevel) every day without exception
- Respond to every new lead within 5 minutes using approved message templates
- Follow up with every unresponsive lead after 24 hours
- Move all leads through the pipeline from first inquiry to confirmed booking
- Tag and organize all contacts by location, service type, and booking status
- Send rebooking messages to our existing database of 500+ past clients
- Prepare a weekly report on leads, response times, conversions, and lost bookings

Booking Coordination:

- Receive confirmed bookings and notify the assigned therapist immediately
- Confirm the appointment with the client right away
- Handle reschedules and cancellations professionally and promptly
- Follow up with every client after their session to ensure satisfaction and encourage rebooking

Automation & Systems:

- Set up and maintain automated responses in AgentCRM
- Build and manage message templates for common client inquiries
- Continuously improve response workflows to reduce manual work and increase speed

Social Media Management:

- Post consistently on Instagram, Facebook, TikTok, and Google Business
- Respond to all DMs and comments within the hour
- Create simple graphics and captions using Canva
- Grow following organically through consistent, engaging content
- Report weekly on engagement and what is working

REQUIREMENTS:

- Proven experience with GoHighLevel (GHL) or AgentCRM — required
- Strong experience managing social media professionally
- Excellent written English — you will communicate directly with clients
- Highly organized with strong attention to detail
- Self-motivated and proactive — you do not wait to be told what to do
- Reliable internet connection
- Available Monday to Sunday, 9am to 6pm Atlantic Standard Time (Puerto Rico)
- Weekend availability is important — most bookings come in Friday to Sunday
- Experience with Canva for social media graphics
- Spanish language skills — preferred but not required

PREFERRED:

- Experience in hospitality, wellness, or spa industry
- Experience building automated message sequences
- Prior experience working with a US or Caribbean-based business
