Job Description
We are looking for a Virtual Assistant - Backend Client Representative to support inspection operations. This role is behind?the?scenes but critical: you’ll ensure bookings, lab results, and vendor coordination are handled with precision and care.

Responsibilities
Monitor shared inbox during business hours; respond promptly to booking alerts, lab results, and bounced emails.
Manage online bookings in the scheduling platform: verify property details, add?ons, and vendor coordination before confirming.
Coordinate with vendors for electrical and sewer scope scheduling.
Distribute lab results (water, radon, mold, sewer) the same day they’re received; flag abnormal results to the admin team.
Maintain clear office notes for pending items, confirmations, and lab distributions.
Complete end?of?day pay splits and post a structured shift handoff note summarizing open items and next steps.

Required Experience
1-2 years of administrative or virtual assistant experience.
Proven ability to manage shared inboxes and scheduling platforms.
Strong written communication skills with professional tone.
Experience documenting tasks and maintaining clear records.

Preferred Experience
Familiarity with inspection management platforms (e.g., Spectora or similar).
Prior experience coordinating with vendors or service providers.
Background in real estate, property management, or client service operations.
Comfort with remote collaboration tools (Dialpad, Gmail, or equivalent).
