iCare Financial is seeking a Senior Hubstaff Operations Manager
• $9.00 - $10.00 hr starting pay (based on experience)
• Performance-based raises and long-term growth opportunity

• Fixed Schedule: 9:00 AM – 5:30 PM EST | Monday – Friday

This is NOT an entry-level Hubstaff position.

We are NOT looking for someone we need to teach Hubstaff to or as a tech position.

We are looking for someone with REAL experience managing and enforcing accountability across remote staff teams using Hubstaff.

You must already understand:
• workforce monitoring
• productivity enforcement
• screenshot auditing
• attendance management
• idle time monitoring
• remote workforce accountability
• operational reporting
• performance management

If you are simply familiar with Hubstaff as an employee user, this position is NOT for you.

Is This You?

• You have 1+ years of REAL experience using Hubstaff to manage remote employees
• You have experience supervising or overseeing remote teams
• You are comfortable enforcing rules, policies, productivity standards, and attendance compliance
• You are comfortable confronting performance issues directly
• You understand workforce accountability and operational discipline
• You have experience working with US-based companies and business owners
• You have strong leadership and organizational skills
• You are highly detail-oriented and structured
• You have excellent English communication skills (written & verbal)
• You have a quiet home office + high-speed, reliable internet
• You take ownership and operate like a leader, not just an employee

What You Will Be Responsible For

Remote Workforce Oversight

• Monitor 50+ remote workers daily using Hubstaff
• Ensure proper clock-in / clock-out compliance
• Monitor activity levels, screenshots, and productivity
• Identify attendance abuse, idle time abuse, or productivity concerns immediately
• Ensure employees are actively working during scheduled EST hours
• Enforce accountability standards across the workforce
• Assist management in scaling systems for a future workforce of 100+ remote employees

Reporting & Workforce Analytics

• Generate daily and weekly operational reports
• Track attendance, productivity, and workforce metrics
• Identify patterns, operational weaknesses, and workforce issues
• Report directly to Senior Management
• Recommend operational improvements and accountability solutions

Compliance & Operational Enforcement

• Ensure all remote workers follow company policies and procedures
• Maintain operational documentation and compliance tracking
• Assist with enforcement of security and data handling procedures

Payroll & Timekeeping Coordination

• Review Hubstaff hours prior to payroll processing
• Identify payroll discrepancies and attendance issues
• Coordinate with accounting department regarding approved hours and corrections

Leadership & Team Accountability

• Help create a culture of accountability and operational discipline
• Assist in improving remote workforce systems and procedures
• Help train and guide team leads as the company expands
• Serve as a leadership figure within the organization

Skills / Qualifications

• REQUIRED: 1+ years managing remote teams using Hubstaff
• REQUIRED: Experience supervising or overseeing remote employees
• REQUIRED: Strong operational enforcement and accountability skills
• Strong Google Sheets & reporting experience
• CRM experience (ZOHO CRM is a plus but not required)
• Strong leadership and communication abilities
• Ability to manage multiple priorities and remote workers simultaneously
• Experience with remote workforce operations is highly preferred
