JOB OVERVIEW

Every Thing Has A Space is a fast-growing professional organizing company serving Maryland, Virginia, Pennsylvania, Delaware, and New Jersey. We are looking for a reliable, detail-oriented Virtual Assistant & CRM Lead Manager to support daily operations, client communication, and lead management through our CRM platform, Housecall Pro.

This role is ideal for someone who is organized, tech-savvy, proactive, and comfortable working in a fast-paced service-based business.

Position Details:
Remote Position
Full-Time Preferred (Part-Time Considered)
Must be available during EST business hours
Starting Pay: Based on experience
Growth opportunity available
Responsibilities
Manage incoming leads and inquiries through Housecall Pro
Respond to new leads quickly and professionally
Organize and update customer information in the CRM
Follow up with potential clients regarding estimates, booking, and scheduling
Monitor lead statuses and ensure no inquiries are missed
Assist with scheduling and calendar coordination
Run monthly and quarterly marketing communications
Send invoices, estimates, intake forms, and booking confirmations
Track deposits, unpaid invoices, and client communication
Maintain organized notes and job records within the CRM
Assist with customer service via text, email, and phone messaging
Coordinate with the owner and field team regarding schedules and updates
Help maintain workflow automations and communication templates
Support basic administrative tasks and operations as needed

Qualifications
Previous Virtual Assistant or CRM experience preferred
Experience with Housecall Pro or similar CRM/software is a plus
Strong English written and verbal communication skills
Highly organized with strong attention to detail
Comfortable multitasking and working independently
Fast response time and dependable communication
Strong customer service skills
Tech-savvy and able to learn new systems quickly
Experience with Google Workspace, spreadsheets, and online platforms preferred

Lead management and customer follow-up
Social media or basic marketing support is a bonus
