JOB OVERVIEW

Title: Finance & Operations Specialist

Reports to: Vice President of Finance & Operations

Time Zone Availability: Monday – Friday, 9 am - 5 pm U.S Central Time

Location: Remote (Philippines)

Compensation: $900 to $1,200 per month, based on experience, plus a $100 monthly stipend

Payment Method: Payments are made via Wise. Contractors are responsible for any applicable processing or conversion fees.

Job Summary
We’re hiring a Finance & Operations Specialist to support reporting, recurring finance and operations processes, employee records, and workflow coordination. This role is a strong fit for someone who is highly skilled in Excel, comfortable working with numbers every day, and able to keep important processes organized and accurate. You’ll help maintain critical spreadsheets, support recurring reporting, assist with audits and compliance tracking, and improve the way routine work gets done. This is not a basic admin role. We’re looking for someone who can think critically, spot issues early, validate details, and take ownership of their work.

What You’ll Do
Reporting, Excel, and Process Improvement
• Build, maintain, and improve spreadsheets, trackers, and reporting templates
• Prepare recurring reports and support month-end reporting needs
• Review data for accuracy, identify inconsistencies, and flag issues quickly
• Support dashboard development and reporting improvements
• Help streamline repetitive work through better spreadsheet design, automation, and process improvements

Finance and Operations Support
• Support credit card reconciliations and recurring finance tracking
• Maintain payroll-related and employee-by-state tracking files
• Assist with PTO accrual calculations, compensation tracking, and related reporting
• Perform timesheet audits and maintain audit trackers
• Support expense tracking and recurring internal reminders tied to payroll, timekeeping, and reporting deadlines

Payroll, Employee Records, and Compliance Coordination
• Maintain employee records, key dates, and required documentation
• Prepare onboarding and offboarding paperwork
• Maintain NDAs, remote work agreements, and other standard documents
• Support background checks, OFAC checks, and related compliance tracking
• Assist with preparation of semi-monthly payroll
• Assist with workers comp reporting, labor law posting coordination, and open enrollment support

General Support
• Handle recurring administrative and HR process-related tasks with accuracy and follow-through
• Support internal communications tied to reminders, deadlines, and standard team updates
• Take on ad hoc finance, operations, and administrative support work as needed

Required Experience
• 5+ years working in roles involving reporting, spreadsheets, data, or operations support
• Experience supporting finance, accounting, or operations teams
• Experience working with U.S.-based companies
• Exposure to payroll, invoicing, financial reporting, or related business processes
• Experience supporting a marketing, agency, or professional services business is a plus

Required Skills
Advanced Excel
• Advanced Excel skills are required
• Able to build complex formulas from scratch
• Strong with nested formulas, logic, lookups, and error handling
• Comfortable working in large, multi-tab workbooks
• Experienced with XLOOKUP, VLOOKUP, pivot tables, and pivot charts
• Able to build, troubleshoot, and maintain real-world business spreadsheets independently

Reporting and Systems
• Power BI and Power Automate experience is preferred
• Able to build and maintain dashboards
• Comfortable learning and using tools that improve reporting and recurring workflows
• Familiarity with AI tools for process improvement or workflow ideas is a plus
