About Us
We are a UK-based premium ecommerce brand in the memorial products sector, selling to both direct-to-consumer and trade customers across the UK and internationally, including the US. We are scaling steadily and building structured systems for long-term growth. This is a long-term, full-time role for someone who wants stability, responsibility and real ownership.
Important: because we sell memorial products, many of the people who contact us have just lost someone. A calm, warm, genuinely human tone matters here more than in almost any other kind of ecommerce.
Role Overview
This is NOT a casual VA role. I am looking for someone to take customer service and daily operations off me almost entirely — to own outcomes, solve problems independently, and only escalate what genuinely needs me. If you want to be handed tasks all day, this is not the role. If you want to run something, it is.
WHAT YOU WILL OWN
Customer Service (UK & US)
Managing the main customer inbox end to end
Writing in both UK and US style (we will give you the rules — spelling, tone, conventions)
Handling enquiries, delivery questions, sizing, returns, complaints and trade enquiries
Handling structured customer service phone calls (added once you have proven the written voice — not day one)
Resolving issues independently and escalating only the genuinely complex
Ecommerce & Product (Shopify)
Shopify product uploads and edits
SKU reconciliation and structured spreadsheet management
Optimising listings using AI tools (titles, descriptions, formatting, SEO structure)
Pricing and trade pricing accuracy
Data accuracy across product feeds
AI-Driven Work (core requirement)
Operating an AI tool that drafts customer replies — you review, correct and send
Generating and editing product images with AI tools
Using AI to draft and process content
This is not "I have used ChatGPT once." You need to be able to produce finished work with AI tools.
Suppliers & Procurement
Placing and managing supplier orders
Monitoring supplier lead times, tracking purchase orders and delivery timelines
Following up on delays and discrepancies
Logistics & 3PL Coordination
Communicating with our 3PL fulfilment partner
Resolving logistics and shipment issues
Tracking stock levels and reporting discrepancies
Trade & CRM Support
Supporting trade customer onboarding
CRM updates and structured follow-ups
Drafting professional trade
REQUIRED SKILLS & EXPERIENCE
Strong written and spoken English, able to write in both UK and US style
Prior Shopify experience
Confident using Google Sheets
Genuinely fluent with AI tools (this is core, not a bonus)
Highly detail-oriented and process-driven
Able to work independently without constant supervision
Comfortable on the phone eventually, including with bereaved customers
WORKING HOURS
40 hours per week, long-term
Must overlap partially with UK business hours
COMPENSATION
$800 per month, paid monthly
