About Us
We're a fast-growing property management firm operating across Washington and California. We're building a long-term remote team and looking for one experienced person to own day-to-day HOA/community-association coordination, with some general operational support mixed in. This is not an entry-level role — if you don't already understand how community-association management works in practice, this isn't the right fit.
The Skills That Matter Most
Follow-through and loop-closing. When something lands on your desk, you own it until it's resolved — not just logged and forgotten. You keep clean records and nothing slips.
HOA/community-association fluency. You understand dues and assessments, violation tracking, board and homeowner communications, architectural/ARC requests, and vendor coordination. You know the rhythm of community management, not just generic admin.
Calm, professional communication. You handle homeowners, board members, and vendors with a clear, friendly, professional tone — in writing and on calls. You know when to handle something yourself and when to escalate.
Organized across many moving parts. You can hold multiple communities and competing priorities in your head and have a real system for making sure nothing falls through the cracks.
What You'll Own (?80% of the role)
HOA coordination in Vantaca: homeowner and board communications, violation and ARC workflows, work orders, and keeping records accurate and up to date
Tracking and following up on outstanding items and open requests across communities
Vendor coordination: contacting vendors, scheduling, and following up until work is closed
Preparing board packets, notices, and homeowner correspondence
Regular reporting on status, open items, and anything that needs attention
General Support (?20% of the role)
Inbox and calendar management, document preparation, data entry, and ad hoc administrative tasks
What You Will NOT Do
Finance — anything financial is out of scope
Bookkeeping — we have this handled separately
Approve expenditures or sign off on board decisions
Tools (training provided where needed)
Vantaca · Google Workspace (Gmail, Google Docs, Calendar) · Claude (AI assistant — we'll give you access) · plus our standard team communication tools
Requirements
3–5 years of experience in HOA/community-association management, property management, or closely related operations
Hands-on experience with an HOA or property management platform
Strong written and spoken English
Highly organized, detail-oriented, and able to work independently with minimal supervision
Reliable internet and a working computer
Comfortable working remotely with a US-based team and overlapping some US Pacific Time hours for syncs
Strong Advantage
Hands-on Vantaca experience (a meaningful plus — may move you to the top of the salary range)
US HOA / community-association experience specifically
Experience with dues/assessments, violations, or ARC workflows
Experience working long-term with a single US client or team
