We are looking for an experienced customer service and vendor relations specialist to help manage order follow-up, supplier communication, and customer updates for our business.
Responsibilities include:
Contacting vendors to confirm stock, production times, ship dates, tracking, and in-hand date feasibility
Following up on rush orders and making sure deadlines are being monitored closely
Handling stock issues and helping find suitable replacement options when items are out of stock or discontinued
Communicating with customers by
Asking customers for more time when needed or explaining rush/overnight shipping options
Using ChatGPT or similar AI tools to help write clear, professional customer
Keeping organized notes and following up until each issue is resolved
Working quickly and carefully in a fast-paced order-processing environment
Requirements:
Strong written English and professional
Prior experience in order processing, customer service, or vendor relations
Familiarity with production timelines and working in a professional atmosphere is strongly preferred
Ability to use ChatGPT effectively to draft and improve customer messages
Good attention to detail and strong follow-up skills
Ability to stay calm and professional when dealing with stock problems, deadline issues, or customer concerns
Reliable internet connection and ability to work remotely
Must be organized, responsive, and comfortable handling multiple orders at once
