JOB OVERVIEW

We are a fast-growing direct-to-consumer Shopify brand in the women's wellness space, operating in the European market. This is NOT a typical dropshipping store. We are building a real brand long-term, with big goals for the months ahead.
We are looking for ONE VA who is hungry, sharp, and ready to handle big numbers. If you perform, you grow with us into a higher role — open to take on more than this scope as we scale.
We run almost everything with AI, so you must be comfortable using AI tools daily.

THE ROLE
--------------------- ---------- ) CUSTOMER SUPPORT (CS REP)

Reply to customer emails professionally and on time
Process refunds and replacements
Keep chargeback rate as low as possible
Keep cash refund rate as low as possible — push store credit where appropriate
Hide negative comments on our Facebook ads
Reply to positive comments to build social proof
Spot recurring issues across tickets and flag them — don't just clear the inbox, help us improve

2) SUPPLY CHAIN

Coordinate daily with our Chinese supplier agents
Track delivery times, returns, and quality issues
Follow up on delays, lost parcels, and damaged / wrongly shipped products
Report quality and product issues directly to the founder, so we can push fixes upstream to the supplier for the next batch
Keep our internal supply chain sheet clean and up to date

3) A/B TESTING (CS PROCESS)

A/B test our customer support flows to drive down refund and chargeback rates
Test different response templates, recovery offers (store credit vs cash), cancellation flows, escalation paths
Track results in a sheet — clean, structured, decision-ready
Spot what works, kill what doesn't, feed the wins back into our standard playbook

You sit INSIDE the business with us. We work together — that means you actively communicate what you see going wrong and what needs improving, so we can act on it. Proactive, not reactive.
Fixed shifts on European time, with overlap with our Chinese supplier agents (part of your day will be early EU morning).

REQUIREMENTS

Proven experience in supply chain management for dropshipping / DTC
Proven VA experience (be specific about your daily tasks in previous roles)
Familiar with KPIs — chargeback rate, refund rate, conversion data
Strong written English
Positive attitude, open to feedback, eager to grow
Independent, organized, comfortable with high volume and multiple workstreams
Experience with AI tools (ChatGPT, Claude, Gemini, automations, etc.)
Reliable, fast internet (non-negotiable)
