We are a busy independent auto repair shop in Slidell, Louisiana, specializing in gas and diesel light/medium-duty vehicles. We are seeking a remote Automotive Bookkeeper & Parts Reconciliation Specialist to join our team.
This is not a general bookkeeping position. We need someone with prior auto repair shop bookkeeping experience who understands how parts invoices, vendor credits, returns, repair orders, Tekmetric, and QuickBooks Online all connect.
We work Monday-Friday, 8:00 AM-5:00 PM CST. This position requires someone willing to work our business hours, which will likely be a PHP graveyard shift. During scheduled work hours, you must be exclusively available to our shop.
The ideal candidate can handle both bookkeeping/reconciliation duties and parts ticket entry inside Tekmetric. If you are only experienced with automotive bookkeeping, parts reconciliation, and QuickBooks Online, we may consider a part-time role. If you can also enter parts tickets into Tekmetric accurately, this may be a full-time position.
Prior auto repair shop bookkeeping experience is required. Tekmetric experience is required. QuickBooks Online experience is required.
Duties:
* Enter parts invoices/tickets into Tekmetric
* Match vendor parts invoices to the correct repair orders
* Reconcile parts invoices, returns, credits, and vendor statements
* Verify parts costs are accurately reflected on repair orders
* Track and follow up on missing vendor credits
* Communicate with parts vendors regarding returns, credits, invoice discrepancies, and statement issues
* Reconcile all parts vendor accounts
* Prepare a list of accounts payable for owner review and payment
* Enter daily journal entries in QuickBooks Online
* Help ensure Tekmetric and QuickBooks Online stay accurate
* Identify discrepancies between vendor invoices, returns, repair orders, and accounting records
* Communicate clearly with the team when parts costs, credits, or invoices do not match
* Keep organized notes and documentation for bookkeeping and reconciliation issues
* Assist with back-office accounting and administrative tasks as needed
Experience Required:
* Prior auto repair shop bookkeeping experience
* Experience with Tekmetric
* Experience with QuickBooks Online
* Experience reconciling parts invoices, returns, credits, and vendor statements
* Understanding of how parts costs affect repair order profitability
* Ability to identify missing credits, duplicate invoices, wrong costs, and unmatched returns
* Strong attention to detail
* Strong English reading and writing skills
* Ability to communicate clearly with vendors and internal tea
* Ability to work independently and follow established processes
Preferred Experience:
* Experience entering parts tickets/invoices into Tekmetric
* Experience preparing accounts payable lists for owner/manager review
* Experience with automotive parts vendors
* Experience working remotely for a US-based auto repair shop
* Experience supporting daily bookkeeping workflows for an independent repair shop

* Must have voice chat ability for interviews and during work hours
* Must have a Payoneer account
* Must be willing to complete a bookkeeping/reconciliation skills test
