QuickBooks Online Expert Needed for Canadian Water Delivery & Filtration Company

We are looking for an experienced QuickBooks Online expert to help review, clean up, and properly set up the QuickBooks account for a Canadian company based in Surrey, British Columbia.

The company is a local water delivery and filtration business. We believe the current QuickBooks setup may not be organized properly, and we need someone who can go into the account, review the current setup, identify what needs to be fixed, and help us create a clean, accurate, and easy-to-manage bookkeeping system moving forward.

This is not just a basic data-entry bookkeeping role. We need someone who understands QuickBooks Online deeply and can help make sure the system is set up correctly for the business.

Main Responsibilities

The QuickBooks expert will be responsible for:

Reviewing the current QuickBooks Online setup
Identifying errors, missing settings, duplicate accounts, incorrect categories, or disorganized chart of accounts
Recommending how the QuickBooks account should be structured properly
Cleaning up and organizing the chart of accounts
Making sure income, expenses, sales, payments, deposits, taxes, and customer transactions are being recorded correctly
Reviewing bank feeds and account connections
Helping reconcile bank accounts, credit cards, and other financial accounts
Reviewing how invoices, payments, customer accounts, and recurring transactions are being handled
Setting up proper categories for a water delivery and filtration service business
Making sure the setup works properly for a Canadian business, including GST/PST considerations where applicable
Creating a cleaner workflow for ongoing bookkeeping
Explaining what was wrong, what was fixed, and what should be done going forward
Providing basic guidance to the owner or team so they understand how to maintain the system properly
Ideal Candidate

We are looking for someone who:

Has strong experience with QuickBooks Online
Has experience cleaning up and fixing poorly set up QuickBooks accounts
Understands bookkeeping best practices
Has experience with Canadian bookkeeping, Canadian taxes, GST/PST, or Canadian businesses
Can look at a QuickBooks account and diagnose what is wrong
Can recommend the proper setup instead of just following instructions
Is organized, detail-oriented, and honest
Can communicate clearly in English
Can explain accounting/bookkeeping issues in a simple way
Is comfortable working remotely
Can provide a written summary of findings and recommended fixes
Experience Required

Bank reconciliation
Accounts receivable and accounts payable
Categorizing income and expenses
Canadian bookkeeping or tax setup is strongly preferred
Service-based businesses are preferred
Inventory, delivery, or recurring customer billing experience is a plus

You should be able to:

Audit the current QuickBooks setup
Find errors and inconsistencies
Clean up messy bookkeeping records
Recommend the right structure
Set up proper workflows
Communicate clearly with a non-accountant business owner
Work independently without needing constant supervision
Be trustworthy with sensitive financial information
Type of Work

This may start as a one-time cleanup and setup project, but it can become ongoing bookkeeping work if we find the right person.

We are open to part-time or project-based work to start.
