JOB OVERVIEW

FIELD DISPATCH & VENDOR OPERATIONS COORDINATOR — PST HOURS

REMOTE POSITION — LIVE OPERATIONS ROLE

Please read carefully before applying.

We are intentionally being extremely direct and detailed because we are not looking for just any applicant. We are looking for the right long-term operator to grow with our company.

We are an established facilities operations company already handling LIVE service operations daily.

You are NOT walking into:

* fake training scenarios
* hypothetical workflows
* “practice” operations
* a startup trying to figure things out

You are walking directly into:

* active dispatches
* real vendors
* live work orders
* aging jobs
* proposal deadlines
* scheduling conflicts
* escalation situations
* real operational pressure

We are currently scaling operations aggressively and building real operational teams.

We have noticed a large increase in heavily AI-assisted applications during recent hiring processes.

While AI tools can absolutely help organizationally, AI will NOT carry someone through:

* live dispatching
* outbound vendor calls
* technician coordination
* escalations
* active client communication
* operational pressure
* real-time problem solving

Strong live communication ability and operational execution matter far more than polished written responses.

THIS IS NOT A PASSIVE ADMIN POSITION

This is not:

* a low-pressure assistant role
* a “check emails and update spreadsheets” position
* a passive admin job

This is a fast-moving LIVE OPERATIONS role.

A large portion of this position involves:

* outbound calling
* sourcing vendors
* dispatching technicians
* tracking ETAs
* vendor onboarding
* handling scheduling changes
* following up aggressively
* escalating unresponsive vendors
* collecting missing proposal information
* coordinating active work orders in real time

You will be expected to:

* move quickly
* communicate confidently
* multitask under pressure
* follow through aggressively
* maintain urgency throughout the day
* take ownership naturally

WHAT THIS ROLE ACTUALLY LOOKS LIKE DAILY

A typical day may involve:

* reviewing active work orders
* checking aging jobs
* handling overnight escalations
* sourcing emergency vendors
* making outbound calls
* onboarding vendors
* tracking technician ETAs
* handling update requests
* coordinating scheduling changes
* chasing incomplete documentation
* escalating unresponsive vendors
* coordinating with your Proposal Operations teammate
* re-dispatching approved work orders
* pushing jobs toward completion

You may spend:

* 30 minutes sourcing emergency vendors
* an hour chasing an unresponsive technician
* time calming frustrated stakeholders waiting on updates
* time coordinating return trips and scheduling changes
* time gathering labor, materials, photos, and technician notes
* time pushing vendors to provide complete proposal information

This is a real operational environment requiring:

* urgency
* persistence
* accountability
* communication
* follow-through
* operational awareness

HOW OUR OPERATIONS FLOW WORKS
——————————————————————

Dispatch & Vendor Operations owns the work order operationally while it is active in the field.

That includes:

* vendor sourcing
* dispatching
* scheduling
* follow-up
* communication
* technician coordination
* collecting labor/material information
* preventing work order stagnation
* keeping workflows moving

You will FULLY OWN the work order while it is active operationally.

This role requires TOTAL OWNERSHIP.

That means:

* no waiting around
* no assuming someone else handled it
* no letting work orders stagnate
* no allowing communication gaps
* no losing operational visibility

You are responsible for making sure the work order keeps moving from dispatch through completion.

Once proposal information is collected:

* labor
* materials
* technician notes
* photos
* scope details

the work order transitions temporarily into Proposal & Workflow Operations for:

* proposal review
* organization
* client-facing formatting
* approval processing

Once approved, the work order transitions back into Dispatch Operations for:

* scheduling
* technician coordination
* return trips
* completion tracking
* operational closeout

You will work directly with your Proposal Operations teammate daily.

The goal is not simply dispatching technicians.

The goal is moving work orders from dispatch through completion without operational breakdowns or unnecessary delays.
