We’re looking for a proactive and detail-oriented Virtual Assistant to support daily operations, streamline processes, and help scale the business.

Role Overview
The Virtual Assistant will play a key support role across administration, marketing, systems, and operations. This position requires someone highly organised, tech-savvy, and capable of managing multiple tasks with minimal supervision.

Key Responsibilities
1. Administrative & Data Management
• Data entry and database management (CRM, project tracking systems)
• File organisation (Google Drive, Dropbox, etc.)
• Document preparation (quotes, proposals, contracts, variations)

2. Social Media & Website Management
• Schedule and publish social media content
• Assist with content creation (project updates, before/after posts, reels)
• Maintain and update website content (projects, blogs, testimonials)
• Monitor engagement and respond to comments/messages
3. Systems & Process Development
• Create and improve internal systems and workflows
• Develop SOPs (Standard Operating Procedures)
• Build and maintain checklists for project stages (pre-construction, build, handover)
• Assist in implementing project management tools
4. Lead Generation & Sales Support
• Research and identify potential leads (clients, architects, suppliers)
• Maintain and update lead pipelines
• Assist with outbound outreach
• Prepare client follow-up communications
5. Scheduling & Coordination
• Manage calendars (meetings, site visits, client calls)
• Coordinate appointments with clients, trades, and suppliers
• Send reminders and confirmations
6. Procurement & Ordering Support
• Assist with ordering materials and tracking deliveries
• Liaise with suppliers for pricing and availability
• Maintain supplier databases
7. Personal Assistance (as needed)
• Ad hoc tasks to support the director/business owner
• Travel bookings, reminders, and general organisation

Skills & Experience Required
• Previous experience as a Virtual Assistant or Administrative Assistant
• Strong organisational and time management skills
• Excellent written and verbal communication
• Experience with:
o CRM systems (e.g., HubSpot, Buildertrend, JobTread, etc.)
o Google Workspace / Microsoft Office
o Social media platforms (Instagram,
• Ability to create systems and improve workflows
• High attention to detail and problem-solving mindset
