Full time Scheduler – Home Care Agency

Highly preferred: Experience working with U.S.-based healthcare or home care agencies

About Us:
We are a growing home care agency serving seniors and families throughout North Austin and surrounding areas. Our mission is to help older adults age safely and gracefully at home through compassionate, responsive, and high-quality care.

We are looking for a highly organized, proactive, and dependable Virtual Assistant / Scheduler to join our team.

This role is NOT for someone who needs constant follow-up or supervision. We are looking for someone who takes ownership, communicates clearly, responds promptly, and thrives in a fast-paced environment.

Key Responsibilities:
Manage caregiver scheduling and shift coverage
Handle caregiver call-offs and staffing replacements promptly
Answer and return calls/messages professionally and quickly
Maintain accurate documentation and communication logs
Coordinate with caregivers, clients, families, and office staff
Monitor EVV and scheduling accuracy
Follow up on open issues until fully resolved
Escalate urgent concerns appropriately
Support office operations and communication flow

Requirements:
Excellent English communication skills (written and verbal)
Strong phone etiquette and professionalism
FAST response time during working hours
High accountability and follow-through
Ability to multitask under pressure
Strong organizational and problem-solving skills
Experience in home care, healthcare scheduling, staffing, and/or customer service
Reliable internet and quiet work environment
Ability to work independently without constant reminders

IMPORTANT:
We have previously experienced communication breakdowns and delayed responses in this role. Because of this, accountability, responsiveness, and communication are extremely important for this position.
