We are a multi-state US medical clinic group (5 states, growing) hiring our next full-time Patient Phone Coordinator. You will be the voice of our clinics — the first person every patient hears. This is not a chat support job and not a sales job. It is a calm, warm, organized phone role for someone who genuinely likes helping people and is precise with details.
WHAT YOU'LL DO:
- Answer inbound patient calls (40–80/day) with a warm, clear, neutral-American phone presence
- Schedule appointments across 5 US time zones (EST, CST, MST — calendar discipline is non-negotiable)
- Explain our pricing and process to nervous first-time patients in plain language
- Manage digital patient files in our EMR — scanning, tagging, confirming records are complete
- Make confirmation/prep calls the day before appointments so patients arrive ready
- Flag anything unusual to the US team immediately — we'd rather you ask than guess
WHO THIS IS FOR:
- 3+ years in a medical, dental, or healthcare admin role (US clients strongly preferred)
- Excellent spoken English with a neutral, easy-to-understand accent
- Comfortable working US Eastern hours (10pm–6am Manila) long-term
- Fast learner on new software — we use modern cloud tools and add new ones often
- Quiet home office, stable internet (25+ Mbps), USB headset, backup power
WHO THIS IS NOT FOR:
- Anyone who has never handled live phone calls with US patients
- Anyone applying to 50 jobs this week with a copy-paste cover letter
- Anyone uncomfortable with night shift
COMPENSATION:
$800–$1,600 USD/month based on experience and skills demonstrated in the application. 13th month, paid holidays, paid time off after 90 days. Long-term role with growth into team lead as we expand.
HOW TO APPLY (READ CAREFULLY — APPLICATIONS THAT SKIP STEPS WILL NOT BE READ):
Step 1 — Record a 60–90 second voice sample using
"Thank you for calling Clinical Oversight Consults, this is [your first name], how can I help you today? … I understand, and I'm sorry you're dealing with that. Let me pull up our next available appointment in Rhode Island. We have an opening this Thursday at 2pm Eastern, or next Monday at 10am. Which works better for you? … Perfect. Before I lock that in, I'll send a confirmation text with the paperwork link and our $249 evaluation fee, payable at the visit. Is the number you're calling from the best one to reach you?"
Paste the Vocaroo link at the TOP of your application.
Step 2 — Below the link, answer these three questions in 2–3 sentences each:
1. What medical or healthcare office have you worked in, and what EMR/scheduling software did you use?
2. Describe a time a patient was upset on the phone and how you handled it.
3. What's your current internet speed (screenshot from
Step 3 — At the very bottom of your application, type the word "PINEAPPLE" so I know you read the full post.
We review every application that follows all three steps. We will not respond to applications missing the voice sample.
