JOB OVERVIEW

Healthcare / Telehealth Experience Preferred

We are seeking an experienced Podium and GoHighLevel (GHL) specialist to help build, optimise and manage patient communication and automation workflows for a growing Australian healthcare business.

This role is ideal for someone who understands not only automation and CRM systems, but also how patient journeys, compliance requirements and operational workflows interact within a healthcare environment.

About the Role
You will work closely with our internal team to architect and implement scalable systems across:
- Podium
- GoHighLevel (GHL)
- Telehealth and patient communication workflows
- Lead management and nurturing
- SMS and email automation
- Intake and booking flows
- Pipeline and lifecycle management
- Reporting and attribution
- The ideal candidate can think strategically about system architecture while also being hands-on with implementation and optimisation.

Key Responsibilities
- Set up and optimise GoHighLevel pipelines, automations and workflows
- Configure and manage Podiu ---------- ssaging and communication systems
- Build patient nurture sequences across SMS and email
- Create lead routing and conversion workflows
- Implement intake, booking and follow-up automation
- Assist with CRM architecture and system integrations
- Help prevent duplicate messaging and workflow overlap across platforms
- Manage unsubscribe and consent workflows
- Support attribution and conversion tracking across Meta and Google
- Recommend operational improvements and automation opportunities

Preferred Experience
- Strong experience with GoHighLevel
- Strong experience with Podium
- Healthcare, telehealth, medical or allied health experience preferred
- Understanding of patient communication workflows
- Experience with CRM and automation architecture
- Familiarity with compliance-sensitive environments
- Experience integrating third-party systems and APIs/webhooks
- Understanding of marketing vs operational communication flows
- Strong problem-solving and systems-thinking capability

Bonus Experience
- Halaxy or other healthcare PMS/EMR platforms
- AI workflow tools and automation
- Healthcare privacy and consent workflows
- Zapier / Make / webhook integrations

- Can identify workflow inefficiencies and improve processes
- Understands automation governance and system ownership
- Is proactive, organised and detail-oriented
- Can communicate technical concepts clearly
