We are looking for an experienced Customer Service Officer to support our Australian clients with professional communication, administration, CRM updates, appointment setting, and document preparation.

About the Role

This is a remote Customer Service Officer role supporting Australian B2B clients.

You will be responsible for responding to client enquiries, booking appointments, preparing professional emails and documents, updating HubSpot CRM, and supporting clients using software systems.

This role suits someone with strong English, excellent administration skills, attention to detail, and the ability to follow clear processes.

Key Responsibilities

• Respond to Australian client enquiries by email, phone, and online meetings
• Book appointments, service visits, follow-ups, and client meetings
• Write clear and professional client emails
• Prepare and format documents using Microsoft Word
• Maintain spreadsheets and reports using Microsoft Excel
• Prepare basic presentations or client material using PowerPoint
• Work across Microsoft 365 including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint
• Update client records, notes, tasks, and activity in HubSpot CRM
• Support clients using SaaS/software systems
• Follow internal workflows, service processes, and task instructions
• Use AI tools where appropriate to help draft, organise, summarise, or improve work

Skills & Experience

• Minimum 3+ years’ experience in customer service, client support, appointment setting, administration, or similar
• Experience supporting Australian, international, B2B, or SaaS clients is highly regarded
• Excellent written and spoken English
• Strong phone, email, and client communication skills
• Confident appointment-setting and follow-up ability
• Strong Microsoft Word formatting and document preparation skills
• Working knowledge of Excel, Outlook, Teams, SharePoint, and PowerPoint
• Experience using HubSpot CRM or similar CRM systems
• Strong administration, organisation, and attention to detail
• Comfortable learning and using SaaS/software systems
• Comfortable using AI tools such as ChatGPT, Copilot, or similar to improve productivity
• Able to follow instructions and work independently in a remote environment

Technical Requirements

• Minimum internet speed: 40 Mbps download / 20 Mbps upload
• Backup internet connection required
• Quiet workspace suitable for client calls
• Professional headset and microphone
• Reliable computer suitable for full-time remote work
