About Us
We run a fast-scaling Shopify fashion dropshipping brand serving customers across Europe and North America. We're growing quickly and need a reliable, sharp Customer Service VA who can handle high ticket volumes, protect our margins, and keep our customers happy.
If you perform well, there is a clear path to a Team Lead / Manager role as we scale.
What You'll Be Doing
- Handle customer service tickets
- Respond to all inquiries within 3 hours (first response time KPI)
- Process refunds, partial refunds, and store credits to keep refund rate below 5%
- Track and update orders using Parcel Panel
- Communicate with suppliers regarding product issues and shipping delays
- Manage and update size charts on Shopify & Mark products as out of stock when needed
- Organize and maintain a structured spreadsheet log of:
1. Every refund processed
2. Every order issue
3. Every supplier communication
- Perform various Shopify backend tasks as needed
Requirements:
Must-have experience:
- Familiar with AI (Gemini, Claude, ChatGPT) to communicate with different market customers
- Proven experience in Shopify customer service (fashion/dropshipping preferred)
- Know how to negotiate partial refunds, offer store credits, and handle disputes to keep refund rate under 5%
- Familiar with Parcel Panel (order tracking)
- Experience communicating with suppliers about product quality and shipping issues
- Able to organize data in Google Sheets or Excel (refunds, order issues, supplier notes)
- Know how to update size charts and mark products as out of stock in Shopify
- Can handle 20+ tickets per hour without sacrificing quality
- Excellent written English — professional, warm, and clear
- Strong customer empathy — your goal is maximum customer satisfaction
Nice to have:
Experience with Big 5 or European customers
Familiarity with Zoho, Gorgias, Zendesk, or similar helpdesk tools
