Job Description: Virtual Assistant, Multifamily Real Estate Team

About Us
SVN Wood Properties is a commercial real estate brokerage based in Knoxville, Tennessee. Our Multifamily Advisory team has transacted over $400M and sold 3,000+ units across East Tennessee, focused on investment sales of 20 to 250 unit properties. We move fast, run an active pipeline, and need a VA who can keep pace.

Position Overview
We are hiring a proactive, detail-oriented Virtual Assistant to support our multifamily brokerage team approximately 20 hours per week. This is not a passive admin role. You will be building and maintaining our CRM, generating qualified leads, executing outreach campaigns, and helping us stay on top of a deal-driven pipeline. The right person will treat our database like their own business.


Key Responsibilities
1. CRM Build-Out and Management
Build, organize, and maintain our CRM as the single source of truth for properties, owners, and contact activity.
Tag properties by status: prospect, contacted, active conversation, under LOI, under contract, closed, sold comp.
Deduplicate records, enforce data hygiene, and log every touch (call notes, emails, meetings).
Build and maintain segmented lists for outreach campaigns.
2. Daily Lead Generation
Deliver a list of 20 multifamily properties with verified owner contact information by 8:00 AM EST each business day.
Minimum 10 units per property, prioritized in this order: Knox, Blount, Sevier, Loudon, Anderson Counties, then the Tri-Cities region.
"Verified" means: LLC traced to a human owner via skip trace, direct phone number (not a leasing office), direct email (not ---------- ---------- and source documented in the CRM record.
Upload notes from the prior day's calls and complete any assigned follow-up tasks before the next morning's list is delivered.
3. Email Prospecting
Execute daily outreach campaigns from approved templates targeting newly approved multifamily projects, existing assets in our farm area, and our existing buyer list.
Draft new campaign templates for team review and approval before send.
Track opens, replies, and bounces. Flag warm responses for the team within the same business day.
Maintain sender reputation by managing list hygiene and respecting bounce and unsubscribe data.
4. Market Research and Comps
Pull comparable sales and rent comps on request, typically within 24 hours.
Research new multifamily developments, permits, and construction starts across our target counties.
Identify underperforming assets, ownership turnover signals, and other off-market opportunities.
5. Reporting
Submit a weekly activity recap every Friday: lists pulled, contacts added, emails sent, responses received, comps completed, and any blockers.

Maintain a simple dashboard or shared sheet the team can reference at any time.


Qualifications
Required
Native or near-native written English. You will be drafting outreach that goes to property owners and principals.
Reliable high-speed internet and a quiet workspace.
Minimum 4 hour daily overlap with EST business hours, with at least the 8:00 AM to 12:00 PM EST window covered.
Experience with US commercial real estate data, not just residential.
Comfort with LLC research and skip tracing using tools like TruePeopleSearch, BeenVerified, and county assessor and register of deeds websites.
Strong research, organizational, and written communication skills.
Proactive self-starter who surfaces process improvements rather than waiting to be told.
Preferred
Direct experience supporting a multifamily brokerage or investment sales team.
Familiarity with CoStar, ActiveCampaign, LinkedIn Sales Navigator, and Google Workspace.
Familiarity with Yardi Matrix, REIS, or similar multifamily data platforms.
Experience with Loom or similar tools for async video communication.


Logistics
Approximately 40 hours per week, remote.
Reports directly to Multifamily Team Partners.
Two-week paid trial period before a longer-term engagement is offered.
NDA required. Owner contact data, pipeline information, and client communications are confidential.
