JOB OVERVIEW

The Role
We need a versatile, sharp, HIPAA-conscious operator who can wear several hats across clinical operations, customer success, and onboarding. You'll work directly with the founder and clinical leadership on the day-to-day engine of the business. This is a startup, so the scope will flex — if you want a defined lane, this isn't it. What You'll Do
Patient & Client Intake
Process incoming referrals from program partners
Extract patient data from intake PDFs and populate internal systems
Generate Quick Field Sheets (QFS) and care documentation using established templates using AI
Maintain accurate, HIPAA-compliant patient records

Customer Service & Sales Follow-Up
Respond to family inquiries with warmth, clarity, and speed
Follow up on leads, scheduling consultations, and answering program questions
Track customer touchpoints and ensure nothing falls through the cracks
Resolve service questions in coordination with the care team

Care Concierge Onboarding
Help onboard new credentialed care professionals (HHAs, CNAs, EMTs)
Verify credentials, collect required documentation, and walk new hires through systems
Be the friendly first point of contact for caregivers joining the platform

Clinical Operations Support
Support scheduling and caregiver-patient matching
Assist with milestone tracking (first sessions, respite hour utilization)
Help reconcile billing data and prep payroll documentation for review
Flag operational issues, partner concerns, or compliance questions early

What We're Looking For
Prior healthcare, home care, hospice, or clinical operations experience strongly preferred
HIPAA training and demonstrated discretion handling PHI
Excellent written communication (warm, clear, professional)
Comfort with PDFs, spreadsheets, basic database tools, and learning new software fast
Self-starter who can run with ambiguous tasks and ask sharp questions when stuck
Reliable internet, quiet workspace, and full availability during agreed hours
Bonus: experience with dementia care
Bonus: SQL or light technical skills

Remote, US time zone overlap required
