Position Overview
We are hiring a dedicated Virtual Executive Assistant exclusively to support our CEO. This role is the organizational backbone of a high-performing executive who excels at building relationships and closing business — but needs a sharp, proactive partner to own the operational infrastructure that keeps everything on track.
The ideal candidate has a STEM or engineering background, brings exceptional organizational skills, communicates directly and without hesitation, and takes genuine pride in making an exceptional leader even more effective. You will be the reason our CEO spends her time on what she does best — building relationships and growing the business — rather than inbox management and scheduling logistics.
Key Responsibilities
Calendar Management — Primary Focus
• Own the CEO's calendar completely — scheduling, protecting, and optimizing her time daily
• Implement time blocking for deep work, business development, client meetings, and travel
• Send proactive daily schedule briefings each morning before the CEO starts her day
• Send reminders 24 hours, 1 hour, and 15 minutes before critical meetings and deadlines
• Protect high-value time from over-scheduling — gatekeep her calendar aggressively
• Coordinate scheduling across multiple time zones with clients, partners, and internal teams
• Manage recurring EOS/Traction meeting cadence including Level 10 prep and follow-up
• Reschedule, cancel, and prioritize meetings proactively when conflicts arise — don't wait to be told
Email
• Monitor and manage the CEO's inbox continuously throughout the business day
• Triage all incoming
• Draft professional responses on behalf of the CEO for routine correspondence
• Prepare
• Unsubscribe, filter, and organize to keep the inbox clean and manageable
• Follow up on unanswered threads requiring the CEO's attention

Client & Business Development Preparation
• Research key contacts before every client meeting — company background, recent news, LinkedIn, relevant projects
• Prepare concise one-page briefing documents before meetings with clients
• Assist with drafting business development
• Track open BD conversations and follow-up timelines — ensure nothing falls through
• Organize and maintain client contact records and relationship notes
• Assist with proposal preparation by pulling relevant project sheets, team bios, and company materials
Priority & Task Management
• Maintain a live prioritized daily task list for the CEO — updated each morning and evening
• Break down complex projects into manageable steps with clear deadlines
• Proactively follow up on open action items fro
• Flag time-sensitive items immediately and escalate when deadlines are at risk
• Create end-of-day summaries: what was accomplished, what carries forward, what is urgent tomorrow
• Be direct — if something needs the CEO's attention, say so clearly and immediately
Administrative Support
• Prepare and submit timesheets and expense reports accurately and on time
• Book and manage complex travel arrangements — flights, hotels, ground transportation, itineraries
• Track certification renewals, compliance deadlines, and important dates
• Maintain organized digital filing across Google Drive and relevant platforms
• Coordinate vendor management, company materials, and event logistics as needed
• Support new hire onboarding initiation with the HR team

Qualifications
Required
• Bachelor's degree or higher in Engineering, STEM field, Business, or a technical discipline
• 5+ years of experience as an Executive Assistant or in a senior administrative support role
• Proven track record supporting C-suite executives in a fast-paced, high-demand environment
• Exceptional written and spoken English — you will draft communications representing the CEO externally
• Advanced proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
• Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Direct, confident communication style — you speak up when something needs attention
• Demonstrated ability to work autonomously and self-motivate without constant direction
• Absolute discretion — you will have access to sensitive business, financial, and strategic information
• Reliable high-speed internet, backup connection, and professional remote work setup
Strongly Preferred
• Experience supporting executives with ADHD or in neurodivergent-supportive environments
• Background in construction, engineering, or technical industries
• Familiarity with EOS/Traction operating system
• Experience with business development support and client-facing correspondence
• Familiarity with AI productivity tools (Claude, ChatGPT, or similar)
• Experience managing travel logistics for executives across multiple time zones
