JOB OVERVIEW

Seeking High-Level Virtual Assistant for Jewelry / Media Brand

I am seeking a highly capable, intelligent, detail-oriented Virtual Assistant to work directly with me full-time on a growing luxury jewelry, media, and e-commerce business.

This is NOT a simple repetitive VA role.

The position involves customer communication, operations, research, live selling support, e-commerce management, AI-assisted workflows, and general business support across multiple brands and projects including our new online courses.

The role will evolve over time, so flexibility, adaptability, and problem-solving ability are extremely important.

ABOUT ME:
I am Matt Harris, a pearl historian, jewelry designer, media personality, live TV host, and luxury brand owner. My businesses involve jewelry, e-commerce, YouTube/media production, live selling, luxury products, education, and content creation.

WORK SCHEDULE:
• Monday–Friday
• Must be available beginning at approximately 8:00 or 9:00 AM Central Time (Texas, USA)
• Occasional flexibility may be required for live selling events or priority projects

PRIMARY RESPONSIBILITIES:
• Responding to customer inquiries across multiple platforms
• Assisting with vendor and supplier communication
• Inventory coordination and packaging oversight
• Supporting live selling events by monitoring orders and managing live chat
• Shopify product management, promotions, and inventory updates
• Monitoring shipping response times and customer follow-up
• Online research and miscellaneous administrative tasks
• Making phone calls on my behalf when needed
• AI-assisted business tasks using ChatGPT and/or Claude
• Assisting with CRM and workflow management
• Helping maintain organization across multiple ongoing projects

REQUIRED SKILLS:
• Fluent English — BOTH written and spoken
• Excellent communication skills
• Extremely organized and detail-oriented
• Strong problem-solving ability
• Comfortable learning new software and workflows
• Ability to multitask and prioritize effectively
• Reliable and responsive during work hours
• Professional attitude and high level of integrity
• Comfortable working independently without constant supervision

REQUIRED EXPERIENCE:
• Shopify
• Customer service/support
• ChatGPT and/or Claude
• Google Workspace (Docs, Sheets, Drive, Gmail)
• Spreadsheet management
• Internet research

STRONG BONUS EXPERIENCE:
• GoHighLevel (HIGHLY preferred)
• Live selling or e-commerce support on Etsy, TikTok, Amazon or Ebay
• Jewelry or luxury product experience
• Social media management
• CRM systems
• Basic graphic design or Canva
• AI tools and automation workflows

TECHNICAL REQUIREMENTS:
• Reliable high-speed internet
• Quiet professional workspace
• Modern computer capable of multitasking efficiently
• Webcam and microphone for meetings
• Willingness to use TimeProof for time tracking and screenshots
