Job Brief
We are seeking an experienced HVAC Construction Contracts Administrator to provide comprehensive administrative support to project managers across multiple states. The role focuses on project setup, supplier coordination, document control, and compliance management within HVAC construction projects.
Responsibilities
Set up new projects, customers, suppliers, and budgets in Simpro software.
Issue purchase orders to suppliers and manage subcontractor insurances.
Establish new projects and contacts in Buildpass.
Invite subcontractors to Buildpass and manage overdue tasks and compliance.
File project correspondence and issue drawings to subcontractors and suppliers.
Upload and maintain updated drawings and documents across platforms.
Track delivery progress and maintain lead time, sample, and procurement registers.
Communicate professionally with clients, subcontractors, suppliers, and internal teams.
Support multiple project managers across different states.
Requirements
Experience in project administration within the HVAC or construction industry.
Strong communication and coordination skills.
Proficiency in Microsoft Excel, Word, and Outlook.
Ability to multi-task across several projects simultaneously.
High attention to detail and accuracy in data management.
Professional and composed under pressure.
