Choice Living LLC is seeking an experienced, highly organized, and proactive Virtual Administrative & Compliance Assistant to support the Administrator and Clinical Nurse Supervisor of our Minnesota licensed assisted living facility.
This is not a general virtual assistant position. This is a healthcare operations and compliance-focused role requiring prior familiarity with Minnesota assisted living regulations, strong administrative skills, and the ability to independently support leadership with regulatory compliance, resident care coordination, and operational oversight.
The ideal candidate is detail-oriented, efficient, professional, and capable of managing multiple responsibilities in a fast-paced healthcare environment while maintaining confidentiality and high standards of organization.
IMPORTANT INTERVIEW REQUIREMENT
Applicants must be familiar with Minnesota Chapter 144G Assisted Living regulations before the interview.
Candidates selected for an interview will be expected to demonstrate working knowledge of:

Position Overview
The Virtual Administrative & Compliance Assistant will serve as operational support to leadership, helping ensure regulatory compliance, administrative organization, documentation oversight, and resident care coordination.
This individual will function as a reliable extension of leadership, assisting with day-to-day operational workflows, compliance tracking, communication, and quality assurance activities.
Key Responsibilities
Compliance & Regulatory Support
Assist with maintaining compliance with Minnesota Chapter 144G assisted living regulations
Track required regulatory deadlines, assessments, care plan timelines, documentation due dates, and staff training requirements
Maintain compliance calendars, reminders, and audit systems
Review resident charts for completeness, accuracy, and regulatory compliance
Audit staff documentation for timeliness, accuracy, and quality
Identify missing, overdue, or incomplete documentation and escalate concerns
Assist with survey readiness preparation and compliance organization
Support policy review and operational compliance tasks as directed
Resident Care Coordination
Schedule and coordinate:
Primary care appointments
Specialist appointments
Therapy appointments
Diagnostic testing
Transportation coordination as needed
Communicate professionally with:
Providers
Pharmacies
Families
Case managers
Clinical staff
Vendors
Track provider recommendations and assist with follow-up coordination
Support resident care communication workflows
Pharmacy & Medication Coordination
Communicate with pharmacy regarding:
Medication refills
Missing medications
Delivery coordination
Medication discrepancies
Refill follow-up
Assist leadership in ensuring medication-related coordination is completed timely
Documentation & Quality Assurance
Conduct routine chart audits
Review:
Progress notes
Service documentation

Required Qualifications
Prior experience in assisted living, long-term care, home care, healthcare administration, nursing support, or compliance
Familiarity with Minnesota Chapter 144G assisted living regulations
Strong understanding of healthcare documentation standards
Experience with compliance tracking or chart auditing
Strong organizational and multitasking skills
Excellent communication skills (written and verbal)
Professional phone etiquette
Strong attention to detail
Ability to work independently with minimal supervision
HIPAA awareness and confidentiality standards
Reliable internet connection and professional remote work setup
Preferred Qualifications
