We are a busy U.S.-based family law firm seeking a Legal Billing Specialist to own our billing, trust accounting, and collections operations. This position requires strong organizational skills, excellent written and spoken English, and the ability to manage sensitive client billing conversations while partnering with attorneys to keep billing accurate and on schedule.
This role is best suited for someone who is highly detail-oriented, professional on the phone, and capable of managing multiple matters and deadlines in a fast-paced legal environment.
REQUIREMENTS (MANDATORY - NO EXCEPTIONS)
Applicants must meet ALL of the following:
Fluent spoken and written English with a clear American accent
Strong grammar and writing proficiency
Minimum 2 years of legal billing experience, preferably in family law or a similarly complex practice area
Strong understanding of IOLTA trust accounting rules and compliance requirements
Strong Microsoft Excel proficiency, including formulas, pivot tables, and reconciliation work (this will be tested)
Working knowledge of basic accounting and bookkeeping principles such as debits and credits, accounts receivable, and account reconciliation
Experience using legal practice management software such as MyCase, Clio, or Lawmatics
Proficiency managing WIP, invoicing, trust fund applications, and billing reports
Ability to work independently and manage competing deadlines
TECHNICAL REQUIREMENTS
Computer with at least 8GB RAM (16GB preferred)
Stable internet connection (minimum 100 Mbps download and 10 Mbps upload) with backup internet access in case of outages
USB headset with clear microphone, since this role handles daily client calls
Dual monitor setup preferred for cross-referencing time entries, invoices, and reports
Quiet, distraction-free home office
Availability to work 9:00 AM to 5:00 PM Central Time (U.S.)

RESPONSIBILITIES
Trust and Retainer Management
Monitor client trust balances daily and flag accounts below the minimum retainer threshold
Send timely replenishment requests and follow up to ensure funds are received before work continues
Apply trust funds correctly and maintain IOLTA compliance at all times
Maintain accurate records of all trust transactions and payment activity
Billing and Invoicing
Review and audit attorney and paralegal time entries for accuracy and completeness before billing
Generate pre-bills, final invoices, and monthly review letters
Ensure billing descriptions clearly communicate the value of work performed
Manage work-in-progress and coordinate with attorneys on billing cycles
Run billing reports and provide regular summaries to management
Collections and AR Management
Follow up on past-due balances in a professional and non-confrontational manner
Set up and monitor client payment plans and escalate accounts that are not progressing
Partner with attorneys on client calls when billing issues require legal explanation
Initiate disengagement processes when appropriate and directed
Maintain accurate accounts receivable records and prepare write-off requests for management approval
Client Communication
Handle a minimum of 10 client calls daily (collections, billing inquiries, new client setup)
Communicate clearly regarding balances, statements, and payment options
Respond promptly and professionally, de-escalating concerns when needed
Ensure alignment with the legal team on all billing communications
System and Process Support
Maintain and update client billing records in the firm's practice management software
Assist in identifying and implementing process improvements to billing workflows
Support onboarding of new clients by setting up billing profiles and retainer agreements
PREFERRED
Collections and payment plan management experience in a legal setting
Familiarity with U.S. family law billing practices, retainer structures, and court fee schedules
