About the Role:
We are seeking a highly organized and empathetic HR Assistant to support our growing team. This position plays a vital role in ensuring HR compliance and supporting both candidates and employees—primarily in the U.S.—through high-volume administrative processes. The ideal candidate will be detail-oriented, service-driven, and experienced in working with U.S.-based teams or clients.
Key Responsibilities:
• Conduct and document professional and personal reference checks for U.S.-based candidates through phone,
• Assist with New Hire Orientation, Workday Access Troubleshooting, Employment Verifications, Fingerprint Scheduling, and other duties as identified.
• Coordinate, run, and audit background checks, ensuring timely completion and follow-up based on each employee’s renewal timeline.
• Monitor and track the validity of U.S. driver’s licenses and Auto Insurance for over 500 employees and proactively follow up on renewals.
• Manage and maintain virtual employee files, ensuring all documents are complete, up to date, and compliant with company and regulatory standards.
• Perform HR compliance audits regularly and address any discrepancies in documentation.
• Assist with SharePoint file and data clean up.
• Act as back-up for New Hire Orientation as needed.
• Provide compassionate and clear guidance to employees and candidates regarding the HR system used to upload personal and employment documents.
• Offer ongoing support and education to staff and candidates who may face challenges navigating the system, ensuring a positive experience for all users.
• Maintain high-volume follow-up communication to ensure documentation is completed on time.
• Work cross-functionally with the U.S. HR and operations teams to align on best practices and employee documentation standards.
Qualifications:
• Bachelor’s degree in business administration, Human Resources, or a related field.
• Minimum 3 years of experience in HR administration, customer service, or similar roles, supporting U.S.-based teams.
• Proven experience with high-volume tasks and multitasking with deadlines.
• Exceptional attention to detail and strong organizational skills.
• Excellent interpersonal and customer service abilities—must be empathetic, patient, and professional in interactions with employees.
• Strong proficiency in Workday, or equivalent platforms (Workday strongly preferred).
• Must have advanced experience with SharePoint
• Strong proficiency in Microsoft Office (Word, Excel, Outlook, TEAMS), PandaDocs, or Google Workspace.
• Must be fluent in English, both spoken and written.
Preferred Experience:
• Working with senior living, healthcare, hospitality, or nonprofit organizations is a plus.
• Familiarity with U.S. employment regulations is a strong advantage.
