We are looking for a reliable, detail-oriented Virtual Assistant to help manage day-to-day operations for our short-term rental business. This role is ideal for someone who is organized, responsive, professional with guests, and comfortable handling multiple tasks across booking platforms and internal systems.
You will play an important role in ensuring smooth guest communication, coordinating cleaners and maintenance, managing booking-related tasks, and helping deliver a great guest experience.
Key Responsibilities:
Monitor and respond to guest messages across Airbnb, direct bookings, SMS, and other platforms
Maintain a friendly, professional, and helpful tone with guests
Reply to guest inquiries
Coordinate daily cleaning schedules with cleaners through Slack
Communicate early check-ins, late check-outs, same-day turns, and special requests
Manage early check-in and late check-out requests based on availability
Request related fees through Airbnb Resolution Center
Verify security deposits and signed rental agreements before check-in instructions are sent
Check reservations and transactions in OwnerRez
Follow up with guests if deposit holds are missing
Handle maintenance issues by communicating with guests and scheduling maintenance when needed
Create and send guest quotes in OwnerRez
Answer incoming calls through Quo and properly document call details
Help enforce company policies including no off-platform bookings and discount approval procedures
Leave guest reviews when appropriate and send post-stay follow-up messages
Turn off automated guest messages when a guest is having a negative experience
Monitor team communication through WhatsApp during shift hours
Send an end-of-day report summarizing daily activity, concerns, maintenance, pending follow-ups, and operational updates
Requirements:
Previous experience in short-term rental, Airbnb, hospitality, property management, or customer service preferred
Excellent written English and strong communication skills
Highly responsive and able to manage time-sensitive guest communication
Strong attention to detail and ability to follow SOPs exactly
Comfortable using or learning tools like Airbnb, OwnerRez, Slack, WhatsApp, Quo, and Schlage
Able to manage multiple conversations and tasks at once
Professional judgment and willingness to ask questions before confirming uncertain information
