We are seeking a highly organised and detail-oriented Accounts & Admin Officer to support the daily operations of a growing Australian logistics and business infrastructure group.
This role is ideal for someone with strong Xero experience, excellent administrative capability, and confidence managing transport allocations, CRM systems, customer communications, and financial administration.
You will work directly with Australian management across logistics, operations, finance, and customer support functions to help maintain smooth day-to-day business operations.
Key Responsibilities
Accounts & Finance Administration
Manage day-to-day bookkeeping tasks using Xero
Create and issue invoices, statements, and credit notes
Reconcile bank transactions and supplier invoices
Monitor accounts receivable and follow up outstanding payments
Assist with payroll preparation and expense tracking
Maintain accurate financial records and reporting spreadsheets
Support BAS preparation and end-of-month reconciliation processes
Transport & Logistics Administration
Assist with transport scheduling and load allocations
Coordinate driver runs, delivery bookings, and POD tracking
Update transport management systems and freight portals
Liaise with drivers, warehouses, customers, and subcontractors
Monitor delivery statuses and escalate operational issues when required
Maintain accurate transport documentation and consignment records
CRM & Systems Management
Maintain and update CRM systems with accurate customer information
Manage lead pipelines, customer records, and follow-up reminders
Assist with sales administration and customer onboarding
Support internal reporting and workflow tracking systems
Help improve operational processes and administrative systems
General Administration
Manage
Prepare reports, spreadsheets, and operational summaries
Assist management with ad hoc administrative tasks
Maintain digital filing systems and company records
Coordinate meetings, follow-ups, and internal communications
Requirements
Essential Skills & Experience
Minimum 2+ years experience in accounts and administration
Strong working knowledge of Xero
Experience in transport/logistics administration preferred
Excellent Microsoft Office / Google Workspace skills
Strong written and verbal English communication skills
High attention to detail and organisational ability
Ability to work independently and manage multiple priorities
Reliable internet connection and suitable home office setup
Preferred Experience
Experience working with Australian businesses
CRM management experience (HubSpot, Odoo, Zoho, etc.)
Knowledge of freight management or transport allocation systems
Understanding of invoicing, reconciliations, and debtor management
Experience with AI tools, automation systems, or workflow software
