Looking for a sharp operations VA to support TrendScale Media - a creative agency producing 300+ ads/week for 7–9 figure DTC brands
This is not a generic VA role. You're going to be the connective tissue between strategists, editors, and clients — the person who makes sure nothing slips and the team can actually focus on creative output.
What you'll own:
- Production tracker across 6+ client brands — know where every concept is at all times (briefed ? scripted ? edit ? review ? shipped ? testing ? learnings logged)
- Brief prep — take strategist Looms/notes and turn them into editor-ready briefs with refs, hooks, music, format specs
- Asset + version control across
- Weekly performance reporting — pull Triple Whale, Meta ads manager, and Shopify data for ad learnings reports and client check-ins
- Research support — VOC pulls from Reddit, reviews, Trustpilot. Ad library teardowns. Competitor intel that feeds the strategist team
- Editor coordination — chase deadlines, first-pass QA on revisions before they hit the strategist
- Client comms admin — scheduling, deck prep, recaps, follow-ups
Must-haves:
- 1+ year inside a creative or DR agency (not a generic VA shop, not pure admin)
- Fluent with the DR creative vocabulary — you know what an advertorial, listicle, quiz funnel, awareness level, and mechanism are. If those terms are new, this isn't the role for you
- Lives in Notion / Asana /
- Strong written English, fast Slack/email replies, no chasing required
- Detail freak — if a brief is missing a hook reference or a deadline is off by a day, it bothers you
- Self-directed — you flag risks before they become fires
Nice-to-haves:
- Worked with Triple Whale, Motion, Foreplay, or Atria
- Pulled VOC research from Reddit/reviews before
- Prior supplement, health, or DTC ecom brand experience
- Light Shopify capability for occasional one-off page tweaks
