JOB TITLE: Online Business Manager & Automation Specialist | Red Apple Coaching

Who We Are
Red Apple Coaching is a high-performance sales coaching company run by Mary-Anne Gillespie , strategist, keynote speaker, and Ironman athlete who builds failing sales systems into million-dollar businesses. Our clients are real estate agents, brokerages, and sales teams across North America who are serious about growth.
We are scaling. We are moving into live events, masterminds, and high-ticket consulting and we need someone who can run the backend of this business like they own it.

The Role
This is not a task list job. This is an operational right hand position for a fast-moving entrepreneur who does not slow down.
You will be responsible for keeping the systems running, the automations tight, and the client experience seamless — so the CEO can stay focused on coaching, speaking, and growing the company.

What You Will Own
Operations & Systems

Managing and maintaining SOPs across all business functions
Client onboarding from contract to first call — fully managed
Weekly and monthly client accountability tracking and reporting
Calendar and scheduling management via Calendly
Project and task management in Asana — keeping everything on track without being asked

Automation & Tech

Building and maintaining Zapier automations across our full tech stack
Integrating tools so data moves without manual effort
Identifying where we are losing time and proposing automation solutions
Staying ahead of AI tools that can improve our systems and workflows

Platform Management

Kajabi — course updates, membership management, landing pages
Skool — community management and engagement support
WordPress — basic updates and page management
Mailchimp — email sequences, broadcasts, list management
Payments — Stripe and PayPal integrating more automation on these
Go High Level — CRM, pipeline management, follow up sequences
Calendly ai

Content & Social Execution

Scheduling and publishing content to Meta and Instagram (downloadable guides etc)
Repurposing provided content into posts, captions, and stories
You are not creating strategy. You are executing it precisely and consistently.
Canva knowledge and ai tools
Meta Ads

You Are The Right Person If

You have supported an online coaching or consulting business before
You have built Zapier automations that actually saved someone real time
You are genuinely excited about AI and actively use it in your work
You are fluent in the tools listed above — not learning them on our time
You work independently, flag problems early, and never need to be chased
You want to grow with a company that is scaling fast and rewards performance
You understand that working with a high performer means keeping up — and you love that
You are incredibly detail oriented

You Are Not The Right Person If

You need daily direction to know what to do
You treat SOPs as suggestions
You are learning Kajabi or Zapier for the first time
You disappear when things get busy

The Details

Hours: 20 hours per week (minimum) to start with strong potential to grow to full time
Rate: Up to $15 USD per hour based on experience
Availability Required: Monday to Friday with a minimum overlap of 9am to 1pm Eastern Standard Time
Location: Virtual
