We are seeking a highly organized, proactive, and experienced Virtual Scheduling Coordinator to manage the complex staffing needs of our Northern California branches. You will be the central hub of communication between our caregivers and clients, ensuring that care is delivered seamlessly across six major counties.
This role requires a "problem-solver" mindset—someone who can navigate the nuances of home care scheduling while maintaining a calm, professional demeanor in a fast-paced environment.
Key Responsibilities
Multi-Branch Monitoring: Oversee and manage schedules for all Beacon Home Care branches across Alameda, Contra Costa, Solano, San Francisco, San Mateo, and Santa Clara Counties.
Care Coordination: Act as the primary point of contact for caregivers; assigning shifts, managing cancellations, and ensuring all client care plans are staffed appropriately.
Payroll Preparation & Auditing: * Ensure that "Time In" and "Time Out" data in WellSky matches perfectly with Paylocity records.
Proactively follow up with caregivers regarding missed punches or discrepancies.
Prepare weekly caregiver payroll exports/reports with high accuracy.
Communication Management: Handle high-volume inbound and outbound calls with professionalism and empathy.
Issue Resolution: Independently address scheduling conflicts and caregiver concerns. Use sound judgment to escalate high-priority issues to the Manager when necessary.
Documentation: Maintain meticulous notes on all interactions and schedule changes to ensure a clear audit trail for the team.
Required Qualifications & Skills
Industry Experience: Previous experience specifically as a scheduler in a Home Care or Home Health setting is mandatory.
Technical Proficiency: Professional-level experience with the following tools is highly preferred:
WellSky (Scheduling/CRM)
Paylocity (Timekeeping/Payroll)
Microsoft Teams (Internal Communication)
Clerk (SMS/Communication)
PST Availability: Must be able to work consistently during California business hours.
Soft Skills:
Detail-Oriented: A sharp eye for numbers and data reconciliation between two different software platforms.
Proactive Nature: You don't wait for a shift to go unfilled; you anticipate needs before they become crises.
Elite Organization: Ability to track moving parts across six different geographic regions.
Independent Problem Solver: A "figure-it-out" attitude when faced with last-minute call-outs or logistical hurdles.
