Philippines-Based | Long-Term Role

About the Company

We are a luxury, U.S.-based portrait studio seeking a high-level Executive Virtual Assistant to work directly with the Owner/CEO as her right-hand support.

This is a long-term, full-time role for someone who excels at systems, communication, AI tools, and social media support, and who takes ownership of keeping a business running smoothly behind the scenes. There will also be several administrative tasks that require a working knowledge of photoshop.

If you are proactive, detail-oriented, and confident managing executive-level tasks using tools like GoHighLevel, ChatGPT, and Google Sheets, and Adobe Photoshop this role is for you.

You will work directly with the Owner/CEO and Principal Portrait Artist, acting as her personal Executive Virtual Assistant, and helping to manage communication, systems, and internal coordination.

This is not a basic VA role.

Our studio is an all-women team built on professionalism, clarity, kindness, and creating beautiful portrait art to last for generations. We value long-term relationships, trust, and people who take pride in doing excellent work behind the scenes.

You will help ensure:

* No client or internal message is missed
* The CEO’s time is protected
* Tasks are clearly assigned and followed through
* Systems remain clean, efficient, and scalable
* Marketing materials are updated as need
*Social Media planning and execution is vital.

Hours: Full-time (40 hours/week)
Schedule: Flexible, with partial overlap with U.S. Eastern Time
Location: Philippines (remote)

Key Responsibilities

Executive & Client Communication

* Serve as personal VA to the Owner/CEO
* Manage client communication across inboxes and systems
* Ensure no message, follow-up, or request is missed
* Draft responses using brand-aligned language and professional tone
* Flag urgent matters and proactively manage priorities

Studio Operations & Team Support

* Help assign, track, and follow up on tasks for studio staff
* Support internal task systems and operational workflows
* Assist with scheduling, coordination, and follow-through
* Conduct research (vendors, tools, partnerships, travel, opportunities)

Marketing & Social Media
*Create and coordinate a social media schedule and use canva or photshop to create templates and other impactful and engaging social media strategies for posting
*Use capcut or a similiar program to create engaging videos.

GoHighLevel (GHL) & Automation
* Build and optimize workflows and automations
* Manage calendars, pipelines, tags, and CRM organization
* Improve email deliverability and system health
* Build and customize landing pages inside GoHighLevel
*Build automations in GHL
*Work with our white label branding to coordinate and problem solve technical issues as they arise.

Data, Reporting & Finance

* Track booking metrics, KPIs, and studio performance
* Build and maintain Google Sheets dashboards (formulas, charts, clean data)
* Categorize expenses and support financial organization

AI, ChatGPT & Efficiency Tools

Use ChatGPT and AI tools daily to:

* Draft emails and internal documentation
* Improve workflows and systems
* Summarize information and research efficiently
* Assist with copy, SOPs, and problem-solving
* Write effective prompts and know how to iterate to get strong results
* Proactively suggest ways AI can save time and improve operations

Content & Creative Support
* Edit videos for marketing or internal use (CapCut, Premiere Pro, etc.)
* Create graphic designs in Canva, Photoshop, or InDesign
* Write and schedule social media posts

Required Skills & Experience

* 1–2+ years hands-on GoHighLevel experience
* Strong Google Sheets skills (formulas, dashboards, data visualization)
* Advanced experience using ChatGPT / AI tools for work
* Excellent written English communication using proper grammar
* Highly organized, proactive, and detail-oriented
* Comfortable managing executive-level communication
* Able to work independently and anticipate needs
* Based in the Philippines with: Stable internet, Quiet workspace, Dual monitors preferred
* Available for partial overlap with U.S. Eastern Time 9am-5pm.

Compensation & Benefits

* Hourly Rate: $7–$10 USD/hour (based on experience)
