LISTING & TRANSACTION COORDINATOR (Remote, Full-Time)

Schedule: [Night shift, PH time – see Technical Requirements]

We're hiring a highly organized, systems-minded Real Estate Transaction Coordinator.

This role is for someone who lives in the details, obsesses over contract deadlines, and can run a complex transaction pipeline without dropping a single ball. You won't just be checking boxes. You'll spot gaps in the contract-to-close process, automate repetitive work, and make sure every client and partner gets a seamless, "magic moment" closing.

RESPONSIBILITIES

Transaction & Listing Management

Contract-to-close ownership: Manage every part of buyer and seller transactions, from signed purchase agreement to closing, using SkySlope and GoHighLevel.
Pre-listing and pre-offer prep: Run full pre-listing and pre-offer checklists so every property and offer is set up to succeed.
Property research briefs: Build detailed briefs covering property mechanicals and a verified timeline of major home system replacements.
Market research: Prepare comps and pricing data to support senior brokers' pricing strategy.
Offer packets: Draft offer packets with accurate signature blocks and routing, then submit them to the broker for review.
Compliance: Submit all required documents to the office broker and keep every file 100% compliant, with no missing disclosures, under the direction of the responsible broker.
Closing logistics: Coordinate with attorneys, lenders, title officers, and brokers. Collect CD/ALTA statements and check them against the commission agreement for broker review.

Project & Operations Management

Communication prep: Draft email templates that help senior brokers communicate quickly with clients and key partners.
System building: Spot workflow inefficiencies and design and implement improvements or automations that cut manual work.
SOP documentation: Document workflows as step-by-step guides so processes are repeatable and scalable.
KPI reporting: Keep the Deal Tracker (Google Sheet) and GHL opportunity values current so leadership always has accurate data.
Connective tissue: Be the bridge between leadership, agents, and clients so nothing gets dropped.

REQUIREMENTS

Experience & Capability

Extensive experience in real estate transaction coordination, transaction management, or high-level operations support
Comfortable managing 20+ active files at once, each with different deadlines
BPO customer service background (highly preferred)
Experience automating workflows, or a solid understanding of how to design them (highly preferred)
Working knowledge of SkySlope and GoHighLevel (strongly preferred, not required)
Confident using AI tools like ChatGPT, Claude, or Gemini to work faster

TECHNICAL & SCHEDULE REQUIREMENTS

Stable, high-speed internet connection (minimum [50] Mbps) plus a backup
Available to respond to messages during core hours of 8:00 AM–8:00 PM EST ([8:00 PM–8:00 AM PH time])
Flexible to work 2–4 hours on weekends when urgent business needs come up [paid/included]

STEP 4: REFERENCE CHECK
This is the final step before an offer. Finalists must provide at least one former employer or team lead reference and one character reference. We verify both before extending an offer.

STEP 5: 90-DAY PAID TRIAL
If you accept an offer, you'll start with a 90-day paid trial so we can both confirm the fit, for the role and for our core values. We'll give you the training, onboarding, and support you need to succeed. You'll be expected to master our SkySlope/GHL workflow, meet every transaction deadline, and start documenting and improving our internal systems. A successful trial leads to a permanent spot on the team.
