We are a US-based real estate operations company looking to hire 3 full-time Transaction Coordinators to work from our coworking office in Metro Manila / Quezon. This is an onsite position — not work from home. You will manage real estate transactions from contract to close for US brokerages and real estate teams across multiple states. We use AI-powered tools and proven systems so you can focus on what matters: accuracy, communication, and getting files closed on time.
We are growing fast and hiring urgently. Top performers will have a clear path to Team Lead and management roles as the team scales from 5 to 15+ people.

WHAT YOU WILL DO
• Manage US real estate transactions from executed contract through closing, including buyer-side, seller-side, and listing files.
• Set up and maintain transaction files in our AI-powered TC platform. Ensure all documents, deadlines, and milestones are accurately entered and tracked.
• Send all transaction-related
• Monitor compliance deadlines: inspections, appraisals, earnest money deposits, escrow, financing contingencies, and closing dates.
• Submit compliance files and documentation to the brokerage’s compliance platform. Ensure all paperwork meets state-specific requirements.
• Chase missing documents. Follow up persistently on outstanding items. Escalate when needed through the proper chain.
• Manage your task board,
• Process rental compliance files and documentation review as assigned.
• Maintain 97?curacy across all file processing, document handling, and compliance submissions. This is non-negotiable.
TOOLS YOU WILL USE
Training will be provided on all tools. Prior experience is a plus but not required.

HOW WE MEASURE PERFORMANCE
We use a scorecard system. Every TC is measured on five dimensions:
Production Volume - 30%
Handle your assigned file load consistently
Timeliness - 25%
Meet SLA deadlines — 85%+ compliance required
Accuracy - 25% accuracy, less than 5% error rate, zero major errors
Communication - 10%
Responsive, professional, proactive with agents and team
Process Adherence - 10%
Follow SOPs, checklists, and escalation protocols
Bonus pay is available for TCs who exceed their baseline file count and maintain high scorecard scores. We reward accuracy and volume.

Senior TC / State Specialist
Own a state cluster. Train new hires. Handle complex files and escalations.
Level 3
Team Lead
Manage a pod of 3–5 TCs. Run QC audits, monitor SLAs, lead daily standups for your group.
Level 4
Operations Manager
Run the full Manila office. Client relationships. New state launches. Report directly to the CEO.

HIRING PROCESS

• No experience need but bonus if you have experience with business working environment or real estate transaction coordination or as a VA supporting US-based real estate agents/teams.
• Solid understanding of the US real estate transaction lifecycle: contract execution, inspection period, appraisal, financing contingency, clear to close, and closing or willingness to learn quickly.

Nice to Have:
• Experience with SkySlope, Follow Up Boss, Missive, DocuSign, Dotloop, ZipForms or Google Workspace.
• Familiarity with state-specific compliance requirements in FL, TX, CO, or CA.
• Bonus if experience managing 20+ active transaction files at the same time.
• Typing speed of 50+ WPM.
