We are a growing behavioural health organization based in Canada seeking a highly capable, detail-oriented Virtual Assistant who is both AI-savvy and operationally strong.
This role combines administrative support, bookkeeping, and workflow optimization, with a strong focus on using AI tools to increase efficiency.
You will work closely with the CEO to streamline operations, reduce administrative load, and support a fast-moving, mission-driven team.
Key Responsibilities:
• Inbox and calendar management (including drafting replies using AI tools)
• Administrative support across operations, HR, and client coordination
• Bookkeeping support (Xero or similar, expense tracking, reconciliations)
• Data entry, reporting, and document organization
• Creating and improving systems using AI (ChatGPT, automation tools, etc.)
• Supporting marketing/admin tasks
• Identifying inefficiencies and proactively suggesting improvements
You are:
• Highly organized and reliable
• Tech-savvy and comfortable learning new tools quickly
• Experienced with AI tools and automation (this is a must)
• Strong in written English communication
• Proactive, not just task-based—you think ahead and solve problems
• Comfortable working in a fast-paced, evolving environment
Ideal Skills:
• Experience with Xero or bookkeeping systems
• Experience supporting healthcare, therapy, or service-based businesses
• Familiarity with tools like Asana, Slack, G suite, FloDesk, or CRM systems
